Operations Coordinator, Asia Pacific (Refer: OC-HK/China)
 
Summary
The Operations Coordinator reports to the Director of Operations and provides support to members of the APAC Operations team in their day to day management of distributors. He/she assists the customer support team to deliver the highest levels of customer service and customer satisfaction. His/her main responsibilities include: coordinating various departmental and cross departmental projects, planning schedules and making meeting arrangements, preparing letters, maintain databases, tracking systems and regular reporting. The work location will be in Shanghai.
 
Responsibilities:
· Maintain service contract database according to legal announcements and Acceptance Test Procedures (ATP) receipts, prepare monthly report, flag warranty or contract ending. Manage monthly contract review meeting with all stakeholders
· Liaise between distributors, sales operations and distributor manager in regards to service contract renewal.
· Customer Support administration
· Assist with closure of service tickets orders in the enterprise resource planning system(ERP)
· Manage distributor training requirements
· Track and manage distributor and internal compliance
· a)Training, reporting
· b)Tool calibration
· c)Protective equipment
· d)Monitor and influence field action execution
· Responsible to assist in providing reports on installed base performance
· Provide trending reports that will be used to prioritize team activities
· Help manage the technical service information flow between Accuray Head Office and Asia Pacific.
· Closely interact and communicate with customers, sales teams and headquarters support staff to schedule and coordinate field support functions
· Coordinate and facilitate monthly Operations meeting with distributors, take minutes and follow up on action items
Qualifications:
· Management degree or equivalent.
· Relevant diploma/certificate in operational administration/logistics
· Minimum 2 years’ experience in field service or high level administration
· Experience in using enterprise resource planning (ERP) software
· High level excel and PowerPoint user.

· Prepared to work flexible hours.
· Willing to travel overseas
