Main Responsibilities 岗位职责:
1. Be responsible for daily office work, including welcome and guide visitors, answer incoming calls professionally and ensure right transfer of phone call, make notes and reports upon requests, office supplies arrangement and office equipment’s management, copy documents, handle fax, mail, couriers, and etc.;
公司日常行政管理的运作(包括负责公司前台接待及电话接转做好信息记录和传达,办公室用品供给及办公设备管理,收发传真,复印文档,收发信件、报刊、文件,联系快递等等);
? for sales inquire related phone calls, forwarded to the appropriate sales manager, and record details in weekly report, and send weekly report to related sales manager and sales assistant, copy to GM each week.
咨询产品的电话信息及时转发给相应销售经理,并将来电详细信息记录在表格里,每周汇总一次发给销售经理,销售助理,抄送总经理。
? timely handle courier and record in monthly report. Sent monthly report to Administrative Supervisor by 5th of each month, and copy to GM.
及时收发快递及信件,寄出的快递信息登记在表格里,每月5日前汇总上月记录发给行政主管,抄送总经理。
? by 15th of each month, complete payment of all office operation expense, including office supplies, communication fee, travel related cost, delivery cost, utility fee (water, electricity, gas, internet, cable TV, property management fee) for company apartment, send summary report for last month office operation expense report (including office supplies purchase and usage log) to Administrative Supervisor, and copy to GM.
每月15日前完成上个月的办公用品,通讯,差旅相关费用,快递费用统计,核算及支付;以及公司租用公寓日常账单处理(水、电、天然气、宽带、有线电视、物业费等), 并发送月度费用汇总(含办公用品采购清单和领用清单)给行政主管,抄送总经理。
? maintenance and management of office equipment: printers, fax machines, water dispenser, refrigerator, microwave oven, disinfection cabinet, air purification machine, shredder, telephone, computer, and etc.
办公设备的维护及管理:打印机、传真机、饮水机、冰箱、微波炉、消毒柜、空气净化机、碎纸机、电话机、电脑等的正常使用。
? conduct bi-monthly fixed assets inventory check, note any change and send report to Administrative Supervisor, Finance Supervisor, and copy to GM.
每两个月进行一次固定资产盘点,并注明新增或报废,将清单发给行政主管和财务主管,并抄送总经理。
? office environment management: maintain office environment clean and tidy, manage clean personnel.
办公室环境管理:维护办公室日常环境整洁,管理清洁人员。
? office security: make sure office equipment and the doors are shut down or locked after work, especially before the holidays, to ensure that all equipment has been shut down.
办公室安全保障:上下班前后,注意各个设备及门锁的开关情况,尤其是节假日前,确保各个设备已关闭。
2. Be responsible for the management of statistical data (including update and manage employee mailing address and telephone number and other contact information);
负责各类文件、资料的鉴定及统计管理工作(包括及时更新和管理员工通讯地址和电话号码等联系信息);
3. Be responsible for all kinds of meeting arrangement, including meeting room booking, coordinate meeting schedule, announce meeting notice, arrangement meeting rooms, prepare meeting documents and filing;
负责各类会务的安排工作(包括受理会议室预约,协调会议时间,发布会议通知,布置会议室,会议材料的整理、存档工作等);
4. Assist the implementation of the administrative arrangements and various administrative matters, including vehicles arrangement, business trip arrangement, and etc.;
协助行政主管对各项行政事务的安排及执行(包括车辆安排,差旅安排, 办公室葡萄酒出入库等);
? Submit monthly report of company car usage to Administrative Supervisor review and filing;
每月统计出车记录给行政主管审查,之后归档;
? According to hotel and flight ticket record, sum monthly fee, and submit payment application for administrative Supervisor to approve and arrange payment;
每月按账单核算酒店及机票费用,提交行政主管确认并申请支付;
? Upon request assist sales assistant to handle wine in and out at office warehouse;
必要时协助销售助理处理当日办公室葡萄酒出入库;
? Assist finance check wine inventory monthly;
每月底协助财务进行葡萄酒盘点;
? assist Shanghai office cashier work.
上海办出纳助理。
5. Provide secretarial services to the general manager and President;
为总经理提供秘书服务;
6. Other tasks assigned by supervisor.
完成上级交给的其他工作。

Qualification 任职资格:
1. Major in business administration, administrative management, or related subjects, bachelor degree or above;
行政管理或相关专业大专以上学历;
2. At least 1 year of relevant working experience;
至少一年以上相关工作经验;
3. Detail oriented, diligence, responsible, strong writing skills, strong communication and language skills;
细致、认真、有责任心,较强的文字撰写能力,较强的沟通协调以及语言表达能力;
4. Good at utilizing office software and office automation equipment;
熟练使用办公软件和办公自动化设备;
5. Can work under pressure, good team spirit and interpersonal skills.
能承当工作压力,良好的团队精神及人际关系。
