Position Overview

This is a fantastic opportunity for an experienced Office Administrator to be responsible for the delivery of office functions such as reception, building management and procurement by providing effective co-ordination, communication and organisation.

Specific Duties include but are not limited to the following:

-----Office Management

-Meet and greet guests
-Manage incoming calls to reception and transfer to the correct department
-Manage and update the internal phone list
-Be responsible for all incoming and outgoing mail
-Be the first point of contact for any office environment issues
-Liaise with internal facilities and external contractors on building maintenance & cleaning issues
-Be responsible for office security, including managing the distribution of access cards
-Assist with meeting room management
-Ensure that the office environment is maintained to a high standard, conduct regular office inspections
-Plan best allocation and utilisation of office space and resources, including seating and floor plans
-Assist with the new starter process – allocation of desks, welcome gifts, Health & Safety training etc
-Coordinate travel itineraries
Propose and lead initiatives to improve the office environment
-Company related certification annual checking or renewal if necessary
-Company related certification filing and using supervision
-Assist with office move/renovation/contractor negotiation if have
-Promote the Third Bridge Culture throughout our office

----- Procurement & stock control
-Plan and record all office expenditure using purchase order ledger
-Office fixed assets management ( fixed assets booking, maintenance, stock checking)
-Be responsible for all office related contract management
-Be responsible for weekly/monthly/adhoc ordering of stationary, fruit, groceries etc
-Regularly review expenditure and suggest more cost effective suppliers/solutions
-Assist with Town hall meeting and event arrangements, including the annual dinner, Christmas party, outing etc.
-Ensure that all communal areas are in good order and supplied sufficiently
-Liaise with external catering companies; compile and place orders
-Name card &recycle & plants


To be successful in this role you should have a proven track record of:

-----Skills
-Ability to communicate clearly and professionally, both written and verbally
-Highly developed sense of integrity and commitment to client services
-Ability to self-manage, work in a team environment and demonstrate results
-Strong motivation and flexibility; need to function in a fast-paced environment and maintain composure
-Diligent, proactive and well organised approach
-Additionally, must have a high tolerance for multi-tasking

----- Qualifications
-Fluency in English & Mandarin
-Minimum 1 years of Office administration experience; including facilities management and procurement
-Above college's Degree from an accredited university
-Demonstrated organizational skills, high standard of accuracy, an attention to detail, and excellent follow-up skills.
-Proficient IT skills including Excel, Word and Outlook
