GENERAL DESCRIPTION:
An office administration manager is to oversee daily operation of company activities. He/she needs to plan, direct and coordinate the support services of an organization to ensure that they efficiently and effectively provide needed services while staying within budgetary limits.
RESPONSIBILITIES:
1. Manage company IT tasks including communicating external IT company, implementing IT policy, managing IT equipment and updating company software licenses
2. Manage staff, preparing work schedules and assigning specific duties
3. Keep staff records on leave, arrange staff business trip, prepare social security documents, and manage required documents for alien staffs
4. Assist recruitment process including posting advertisements and supporting interviews
5. Manage office administration tasks such as control of office stationary, hard copy filing, company keys & access system, telephone answering, etc.
6. Conduct facility management, e.g. facility insurance, rental, bills, equipment, maintenance and research of additional facility required
7. Conduct company car management, e.g. log, user allocation, insurance and maintenance
8. Prepare and follow up purchase order documentation & keep clear records of all original purchase orders
9. Manage all relevant company legal documentation, keeping in secure and assisting related agency or department
CORE COMPETENCIES / POSTION REQUIREMENTS
1. Quick problem solving skills and strong leadership skills
2. Good communication skills with conflict management experience
3. Knowledge of laws, legal codes and government regulations
4. Good communication (verbal and written) in both English and Mandarin
5. University or college degree in finance or law
6. 6+ years of diverse department experience
7. Technically competent with MS software programs, such as Word, excel and PowerPoint
