General Role Information

Key Responsibilities
Part I. Roles of Operations
The Operations Team’s main responsibility is to follow the internal operations process, handle enquiries from customers and dealers, and provide support as back office for Extended Warranty project.
? Collect overdue sales contracts and make records
? Answer customer, dealer enquiries, and make log
? Control the inventory of point of sales materials and make dealer delivery plan
? Handle daily operations tasks in system
? Cooperate with SGM of the weekly deduction from dealer’s account
? Maintain deduction information in operating system, follow up with dealer not making remittance
? Verify dealer invoicing information and maintain in operating system
? Review monthly invoicing information generated by the system and send to SGM
? Summarize sales & cost information from the system monthly for SGM’s finance recording
? Perform periodic reconciliation on behalf of SGM with dealers, follow up reconciliation items
? Draft weekly and monthly cut-off schedule of collection
? Keep filing of related documents
? Review credit facility based on sales volume of each dealer when necessary
? Initiate process improvement based on SGM’s requirement and observations during the work
? Other required work relating to work flow
? Produce reports relating to sales and operations
Part II. Roles of Claims Administration
? Work with claims specialist to make sure all information, facts, questions are properly collected, recorded, documented and communicated for each and every claim
? Always use critical thinking to drive for a logical reasoning and conclusion that is acceptable for all parties
? Ensure all telephone, fax and system claims are processed proactively and efficiently within the specified limits of authority and in line with company policy and any relevant KPIs
? Maintain a high quality dialogue with claimants / dealers about information requirements, status with an aim to solve customer problems while at the same time strictly abide by claims principle and policies
? To engage and manage external loss adjusting companies / partners to complete inspection requirements according to service standards
? To initiate, organize and coordinate meetings with relevant manufacturer departments to solve issues and reach agreements related to customer complaints, dealer performance, processes, policies, etc.
? To create reporting to meet management and communicative requirements
Skills & Attributes
? Good oral and written communication skills, in both Mandarin and English
? High level of computer literacy including advanced working knowledge of Microsoft Excel
? Good communication skills with the ability to establish credibility facing customers, dealers and manufactories
? Outstanding ability to manage multiple tasks, and adhere to deadlines
? Good organizational and planning skills and to able to establish priorities so that work are finished and deadlines met
? Strong factual and logical thinking
? Strong sense of professionalism and customer satisfaction
? Strong analytical skills and aptitude for problem-solving
? Team work skills and capabilities
? Enthusiastic, flexible and capable of using own initiative.
Qualifications & Experience
? Bachelor's degree or above
? At least 2-year experience in foreign companies
