JOB SUMMARY:
The primary role of this position is to oversee and manage all aspects of the logistics operation in China. This position will act as the contact window to the local customers, partners and the team for any logistics/supply chain related inquiries and provide assistance with forward and reverse logistics operation. The position is based in Shanghai and report directly to the International Logistics Senior Supervisor. This is an individual contributor role.
ROLE AND RESPONSIBILITIES :
40% China Frontline Logistics and Customer Support
-Responsible for processing spare parts orders for distributor managed sites in China and providing necessary shipping instruction to 3rd party logistics company
-Be the distributor/FSE’s focal point of contact in China for orders, shipments, product delivery schedules and lead-time, stock availability and any logistics issues.
-Work closely with 3PL, customs broker as well as Finance team to complete import/export declaration in China.
-Prepare and provide any documents required for customs clearance and duty & VAT payments in China.
-Liaise with 3PL to ensure critical orders are delivered on time. Provide delivery status to customers and FSE when requested
-Work closely with customs broker in Beijing and communicate any customs requirements (i.e. CCC, China energy label) proactively to Madison.
-Trigger escalation processes as required both internally and externally
-Responsible for managing China distributors parts replenishment Service Orders (update/close) and consuming parts from their trunk stock
40% Reverse Logistics
-Serve as gate keeper of the return to repair process. Ensure China RMA's are returned with correct labels (Purple, Red or Green) following the correct process
-Prepare customs documents required for export & re-import declaration (in Chinese and English)
-Prepare and provide weekly RMA report to distributors and FSE
-Follow up with distributors/FSE in China on their aging open RMA to ensure timely return.
-Arrange RMA pickup for Accuray FSE’s
10% BJS Inventory management
-Responsible for providing parts information required for import customs in China (in Chinese and English) when new part arrives
-Responsible for ensuring the inventory in bonded and non-bonded area are reflected correctly in company's system
-Proactively inform AIS planner of any inventory adjustment needs
10% Other tasks
-Manage Import license and certificate application through authorities
-Serve as backup to Logistics coordinator in HK
-Responsible for resolving and/or promptly escalating any logistics issues occurs with orders, shipments and RMA
-Participate routine inventory reviews for obsolescence exposure and disposition, and support annual 3PL warehouse audits as needed
-Participate actively to any “Continuous Improvement” projects internally
-Contribute/participate to other ad hoc duties as assigned
QUALIFICATIONS AND EXPERIENCES:
-Minimum 5 years of experience with operation handling of import and export in China for foreign company required
-3+ years of experience with working in Medical device industry is an advantage
-Bachelor’s degree in logistics or related field required
-Must have strong written and oral communication skills in both English and Chinese
-Must have sound understanding and knowledge of China Import and Export Regulations
-Must have proven experience to manage 3PL and bonded warehouse.
-Proficient in MS Office (Word, Excel, Access)
-Excellent written and oral communication skills and be able to communicate and collaborate with cross functional stakeholders and at all levels of the organization
-A team player who is able to work independently.
-Be able to work under minimal supervision
-Has good sense of urgency
-Experience with arranging return to repair process is a plus
-Flexibility to work at after hours to communicate with different time zones (occasionally)
-Flexibility to travel when requested (occasionally)
