Job Summary (Purpose of the job)
Provide high lever of administrative support management and/or department.
Major Duties Performed (Main Functions)
o Diary management, ie scheduling internal and external client meetings, conference calls, events, domestic and international travels, coordinating logistics and following actions;
o Understand the general purpose of meetings/calls, and establish manageable timeframes with prioritization and discretion;
o Identify potential timeframe issues. Take the initiative to discuss alternatives and negotiate timeframes;
o Coordinate enquiries of callers and visitors. Manage expectation regarding return timeframe. Maintain relevant information, ie business cards, contact details etc. Take accurate messages.
o Coordinate routine client email correspondence in a timely and professional manner;
o Support the Executive in the preparation for internal activities, public events, speaking engagements, ie formatting and layout of documentation consistent with IMS branding, information collection and basic analysis and reporting;
o Establish and maintain an effective working relationship with team, peers, and internal functional business units;
o Support in other administrative duties as required.
Minimum Education, Experience, & Specialized Knowledge Required:
o Experienced in supporting Executives, preferably in a professional service industry;
o Proactive and self-starter working with limited instructions;
o Proficient with MS office software’ as requirements;
o Strong planning, organization and time management skills;
o Quick comprehension of issue and problem solving skills;
o Good communication and timeframe negotiation skills;
o Professional and mature.
