Job title
Ships Agency Coordinator
Purpose
To manage the customers’ requirements as per the SARD Agreement and to monitor customer service needs, follow up port calls and provide support to the customer.
Interrelations
This position reports to the Ships Agency Manager. Close cooperation with Sales and Operations is required.
Main responsibilities
? To coordinate all
-SARD Agreement related jobs, or
- the initial arrangements related to a spot port call where requested by the customer
? To ensure that all appointments are handled without delay and assigned to Local Operations
? All enquiries and appointments from customers are to be logged in the Quote Follow up spreadsheet/Schedule list.
? To monitor the execution of the port call and work closely with appointed agent to ensure that we meet the customers’ expectations. Actively follow up with the relevant agent for all operational and DA requirements.
-Ensure Proforma DAs are being sent in a timely manner.
-Ensure advance funding (approved by customer) is remitted correctly to local agent’s bank account at least 3 days before vessel arrival. More days to be taken into consideration if there are holidays and weekend days.
-If customer runs on a Float account, always ensure enough funding in the Float account. If the fund falls below threshold of 40%, raise projection to customer to request for new injection of fund.
-Maintenance of Customer Cashbook with float account , ensuring accuracy and availability for viewing wherever customer requested for it.
-If customer runs on a call by call basis, ensure advance request of funding (100%) from customer is requested before remitting out to agent.
-To send out customer’s reports on requested dates if required.
? Ensure proper DA handling, including correct data input, monitoring, verification and processing.
-To verify and allocate all vendors’ invoices to correct port calls if any.
-Ensure KPIs are met for receiving of FDA, FDA verifying days and SOA settlement days.Q
-To ensure reminders are be sent constantly to agents for overdue FDAs.
? Provide ships agency support and advice to customers, Customer Coordinators and Sales.
? To assist and support the Ships Agency group on administrative, technical and commercial issues.
? To use customer specific information related to Ships Agency in order to pro-actively promote our products and services to customers and engage actively in finding solutions to customers challenges.
? Assist with conceptualising and pricing of SARD Agreements together with Sales.
? To register and maintain agency agreement information into the IT systems available
? To report and take corrective action together with Account Manager or Sales Manager to ensure sales budgets are achieved and contractual obligations are fulfilled.
? To ensure adherence related to regulatory issues pertaining to Ships Agency
? To provide regular feedback on technical, service quality and commercial issues raised by customers to the Ships Agency Manager, Customer Services Manager and Sales.
? To gather information required to help investigation and resolution in Final DA Settlement disputes
? To follow up complaints/non compliances through improvement/complaint system in place for WSS agents
Main Qualifications
? Reasonable standard with experience rather than formal education
? Experience from the marine industry, preferably ships agency operations
? Fluent English – both in writing and speaking
? Ability to work independently and systematically
? Able to meet deadlines through good time management and allocation of priorities
? Computer literate
? Postive attitude: Look for solutions, not obstacles
? Excellent service mindset -> taking ownership & initiative
