岗位职责
UFH AHA ITC coordinator in great Shanghai area
• Maintain records, assist students, staff or the public, according to office function.
• Assist students, staff, and the public in the intake services (in person, on-line and telephone) for applications and class registrations for UFH Life Support Training including outreach centers, working within the policies and procedures of the ITC. Process and enter student registration information. Work with front-line staff to coordinate process and file registrations.
• Serve as principal resource for information, support, and quality control for all AHA instructors within the designated training center. Follow protocol as outlined in AHA Program Administrative Manual. Maintain and monitor instructor files for completion and accuracy, and to conduct instructor updates/renewals as needed. Attend trainings as requested or required by AHA.
• Acting as a training center coordinator, sell AHA course materials and maintain inventory.
• Prepare, monitor, and track instructor payment record. Create and maintain instructor non-personnel files and class files.
• Prepare and input section masters for various classes and outreach centers according to registrar procedures. Create and maintain the center calendar of classes. Set up contracted trainings (Drivers, Ayis, general community members, food handlers, etc.).
• Process and receive money and credit card registration payments; receipt, balance, and credit card payments daily; give batch to UFH WOFE. Prepare agency billings and monitor accounts.
• Assume people management responsibilities for assigned scope of areas, including but not limited to hiring, firing, AHA instructor performance review, competency/talent development, compensation review, etc.
• Arrange and schedule classrooms, equipment, and instructional materials for the UFH AHA ITC classes and other special events.
• Answer phones, take registrations, prepare class packets, assemble, type, and file reports, correspondence, and memoranda. Handle all incoming and outgoing mail for the center. Process and record purchase requisitions. Order supplies as necessary for the center and outreach centers.
• Help to promote our services to the communities.
UFH CDEME project manager
• Help with implementing decisions made by the CDEME director.
• Assist in the education and training of medical staff, for the implementation of new or revised policies.
• Maintains CDEME services by organizing office operations and procedures; controlling correspondence, designing filing systems, reviewing and approving supply requisitions; assigning and monitoring clerical functions.
• Assist CDEME director in supporting UFH Centers, including research, training, disaster relief, and primary care.
• Fulfill the roles/responsibilities of the CDEME director when delegated to.
• Coordinate office staff activities to ensure maximum efficiency.
• Recruit, select, evaluate and mange office staffs.
• Coordinate schedules, appointments and bookings.
• Provides historical reference by defining procedures for retention, protection, retrieval, transfer and disposal of records.
• Monitor and maintain office supplies inventory.
• Complete operational requirements by scheduling and assigning employees; following up on work results.
• Keeps director informed by reviewing and analyzing special reports: summarizing information; identifying trends.
• Achieves financial objectives by preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions.
• Maintaining the office equipments and scheduling repairs whenever necessary.
• Maintaining CDEME website and its presence on all social medial platforms.
• Maintaining confidentiality of sensitive data.
• Develops and maintains related training, scheduling, marketing and recruiting procedures at assigned projects accounts, such as UFH Disaster Team, UFH Emergency Medicine Training Program, UFH Emergency Medical Service, UFH Emergency Physician Group
• Analyzes project accounts utilizing local market reviews, hospital needs and actual statistics. From this analysis, develops customized plans for assigned programs including short- and long-term objectives and action plans.
• Provide professional opinion and support to department and staff.
• Assist CDEME director in coordinating with new development projects as requested.
• Work with the CDEME Director on any additional tasks as assigned.
• The above description covers the most significant duties performed but does not include other related occasional work.

QUALIFICATIONS:
• Requires a college/university diploma or nursing diploma or equivalent and a minimum of five or more years of experience in clerical tasks and/or advanced training or education. Two years of demonstrated success in administrative, customer/patient service and public speaking is strongly preferred.
• Must demonstrate operating knowledge of computers with a demonstrable, intermediate level skill (at minimum) with Outlook, Word, Excel PowerPoint and other comparable software programs.
• Must be self-motivated, goal and detail oriented, focused and persistant; have organizational skills and ability to multitask, and the initiative to work independently to meet deadlines.
• Must have excellent oral and written communication skills with the ability to communicate effectively to a variety of audiences.
• Must be or become familiar with policies and programs related to the Center served and educational courses with AHA and the CDEME programs.
• Some weekend hours required to set up classrooms or teach.
• Highly organized and analytical and is able to present information to others in a clear and concise format.
• Must exercise good customer service skills to both internal and external employees and clients.
• Flexibility to adapt to new circumstances.
• Bilingual in English and Chinese.
PREFERRED: (but not required)
• BLS, ACLS, PALS instructors certified for AHA.
PHYSICAL DEMANDS:
• Minimum physical exertion.
• While performing the duties of this position, the employee is frequently required to sit, communicate, reach and manipulate objects, tools or controls.
• The position requires mobility. Duties involve moving materials weighing up to 5 pounds on a regular basis and up to 15 pounds on an occasional basis. Manual dexterity and coordination are required over 50% of the work period while operating equipment such as computer keyboard, mouse, calculator and similar machines.
WORKING CONDITIONS:
• Usual office/hospital working conditions. The noise level in the work/hospital environment is typical of most office/hospital environments. Work hours include weekends and infrequent evening hours for several months a year.
• The project manager is also expected to travel domestically and possibly internationally to teach, work, and attend conference.

The UFH CDEME Office Manager has a dual role; 1.) Serves as American Heart Association (AHA) International Training Center (ITC) coordinator in greater Shanghai service area, 2.) Serves as UFH CDEME projects (includes UFH Disaster Team, UFH Emergency Medicine Training Program, UFH Emergency Medical Service, UFH Emergency Physician Group, etc.) manager. He/she will directly report to and work with the Director of UFH CDEME. He/she will play an important role in assisting with the continued growth and life support training of United Family Healthcare network, and with the researching, designing, implementing, and quality assurance of UFH’s CDEME programs. Additionally, he/she will support the Center operations by maintaining office system and supervising staff, and assisting the Center director’s other responsibilities within the UFH.
