Administration Officer (Receptionist)
Role accountabilities
Customer Services
? Responsible for the smooth and efficient running of the Shanghai office reception desk
? Responsible for answering all telephone calls in an efficient and professional manner, and redirecting calls as required. This role is also required to screen and direct calls and take and relay messages.
? Acknowledge and attend to all visitors to the office in a welcoming and professional manner, notifying the appropriate member of their arrival and ensuring that they are signed-in and out of the office according to company and health and safety guidelines.
? Ensure the delivery of health & safety and office general inductions to all internal or external visitors, as per group H&S policy.
? Ensure customer and staff queries are answered and dealt with in an efficient, timely and professional manner and work is completed to a high standard.
? Build and sustain effective working relationships with key contacts including the building management, administration team and all Shanghai office employees.
? Facilities Services
? Receive and sort mail / faxes / courier deliveries as required and accept and sign for packages and notify relevant staff immediately of any deliveries.
? Ensure that the Shanghai reception area is always staffed and operating to a high standard at all times during reception opening hours.
? Deliver assigned facilities tasks, e.g. security access card & employee badge preparation, vendor liaising, meeting room booking, event support, BUs admin cost allocations and etc., and to ensure administrative requirements are being met as directed by the Facilities Manager.
? Work with the other Facilities team members to ensure an adequate supply of office amenities, e.g. stationary, food & beverage and etc., at all times.
? Back up Facilities Supervisor / Manager of any ad hoc office facilities or administration services tasks, e.g. office maintenance or repairs, cleaning, green plants, and etc., as assigned.
? Back up and support travel arrangements as required.
? Continuous Improvement
? Consistently work to identify and implement improvements to administrative systems, processes and work practices.
Administration Officer (Receptionist)
Qualification:
- Education: University graduate. Fluent in both Mandarin and English - verbal, written and listening.
- Experience: Proven experience in a similar admin or reception role, including making travel arrangements for senior team members.
- Technical/Functional Expertise Ability to deliver exceptional customer service to internal and external stakeholders. Proficiency in Microsoft Office programs and telephone system experience. Depth of experience in administrative positions, with a clear understanding of the importance of first impressions.
- Industry Experience: Frontline receptionist experience for a multinational company is preferred.
