此岗位为六个月合同期,合同***签订,合同期满后如公司有合适岗位可留用。
GENERAL ACCOUNTABILITY基本描述
Under general supervision, receives and greets visitors, answers incoming telephone calls and refers to appropriate personnel. Deals with important external callers and visitors as well as internal contacts at all levels of the organisation. Independent judgement is required to plan, prioritise, and organise diversified workload, recommends changes in office practises or procedures. 接待迎接访客,接听电话并转接给相应的人。有序地处理重要的外部电话和访客,以及内部联络方式。独立判断,优先安排和组织各种各样的工作,对办公室的流程进行提出建设性意见
Is responsible for providing administrative support to one or more members of the organisation. Is responsible for various administrative functions as directed by the HR & Admin Director.负责为公司一个或多个成员提供行政协助。根据高级人事行政经理的安排,负责各种行政支持。
MAJOR RESPONSIBILITIES主要职责
1.0 RECEPTION接待
a) Responsible for all visitors to EHC, maintains a visitor log book, coordinates and stores visitor confidentiality forms, informs internal staff of visitor arrival, directs all HR inquiries to the HR Dep’t. 负责所有EHC的访客,制作一个访客记录表,协调并保存访客保密协议,通知内部员工访客的来访,指导所有涉及人事的到人事部门
b) Directs incoming calls; screens manager calls as requested 转接外部进来的电话,根据需要为经理屏蔽电话
c) Prepares meeting rooms for meetings as requested. 根据要求准备会议室
2.0 GENERAL ADMINISTRATION基本行政职责
a) Orders & maintains office supplies and maintains records for office supply inventory in a cost effective manner and stays within budget办公用品采购,记录办公用品库存,保证其经济节约并控制在预算内
b) Ensures all outgoing mail are delivered in a timely and cost effective manner确保所有的邮件及时并经济地寄出去
a. Ensures employee lunch is at the pre-determined standard确保提前预定员工餐
b. Submits the correct number of employees for lunch提交准确无误的用餐员工人数
c) Responsible for completing daily checks to ensure all office electronic equipment is maintained in good condition. 负责每日检查所有的办公室电气化设备,确保其运转正常
d) Monitor cleaning staff to ensure the office is maintained at a high level of cleanliness监管清洁卫生人员,确保办公司高度清洁
e) Monitors according to procedures relative to arrangement of staff’s transportation requests根据员工的出车申请,相应地安排
f) Manages taxi expenditure to achieve pre-approved budget 管理出租车开销,确保其经过批准预算
g) Responsible for travel arrangements and itineraries, flight ticket booking, hotel reservations, transportation arrangements for relevant management as required. 根据需要为相应的管理层提供行程安排,机票预订,酒店预订和交通安排
h) Prepares letters of invitation for those travelling to China.为那些出差到中国`的人员提供邀请函
i) Organises and prioritises large volumes of information and calls.有序地处理大量信息和电话
j) Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information必要时通过电话或者邮件回复。回应日常可能发生的信息需求
k) Complete work within the appropriate timeframe in order to prevent backlog.为防止工作积压在适当的时间框架下完成工作
l) Ensure that her working area and desk are of the highest 5S standard as it is the first area visitors see确保她的工作区域和桌面达到最高标准的5S,因为这是访客见到的第一片区域
m) Manage admin warehouse and control the inventory of drinks, coffee and tea bags etc 管理行政仓库,控制饮料,咖啡,茶包等的库存量
n) Work with HR Administrator to manage EHC TV program. Make sure visitor welcome sign is posted on TV on timely basis 与人事管理人员一起负责依合斯的电视节目,并确保来访客人的欢迎词能及时地在电视上播出
o) Compare cost of hotels and make suggestion on corporate agreement hotel. 比较酒店的费用成本,对公司的协议酒店提出建议
p) Archive all the hotel agreements 负责所有协议酒店合同的存档
q) Provide cost analysis on admin expenses on regular basis. 定期对行政费用进行成本分析
