职位描述

Accountability
The Senior Admin is accountable to:
? Ensure office administration runs secure, smooth for all employees, business remains safe, efficient , well-maintained and follow the Company requirements regarding travel & office management (involving managing visitors, purchasing, good housekeeping, repair - maintenance, parcels, sample sale, lease contracts & company car)
? Have the general overview of the team members work performance , education needs and support
? Lead the team towards company & department goals achievements

Main Responsibilities
Team leader for Admin
? Have a strong organization and follow up ability to support the office system to run smoothly.
? Foresee problems and be proactive. Take precautions in order to prevent the organization to face any problem.
? Improve operation, analyze internal process and recommend and implement procedural or policy changes to A/A Manager
? Monitor the office to ensure that business remains safe, efficient and well-maintained and follow the Company requirement.
? Have a good controlling system and make sure the admin team is working with the correct tools and methods
? Ensure efficient and effective way of working within admin team, so that business remains safe and whole team follows the H&M requirements.
? Have the general overview of the team’s work performance and their need of education and support.
? Be a good role model/ H&M leader and work on building the team to top performance.
? Inform & keep colleagues updated about administration & travel routines ,make sure they are being followed according to company directives
? Ensure office purchases runs to meet business requirements and control its being in line with office budget & cash forecast.
? Follow lease and service agreements and negotiate contracts/deals for office purchases.
? Check and prepare the office purchases’ and service provider’s invoices to accounting for on time payments, make sure routines of payment are followed according to directives.
? Make sure that all legal requirements are fulfilled. Inform AA Manager about any changes in legislation that can affect the Company.

Collaborate with stakeholders
? Have good communication with all teams to provide assistance for daily problems
? Keep OOM/CM/SM updated about general Admin operations.
? Inform OOM/CM/SM about any changes in legislation that can affect the company. .
? Keep the manager and the team updated about general admin routine and operations
? Update the colleagues about new admin & travel routines and create information flow about changes
? Have a good follow up and controlling system for the routines assigned by the company

Cooperation with H&M service provides and Local Authorities
? Be the contact person for local authorities and keep updated on local legislation
? Be the contact person for H&M service providers
? Be contact person with landlords, office building management
? Be pro-active for best deal in office purchase and contracts
? Make sure Code of Ethic policies is implemented with all parties

Lead and Develop the team
? Be a good role model and H&M leader and work on building the team to a top performing team.
? Motivate, support and educate the team on future business needs
? Define the goals clearly within team and monitor to ensure good results.

For Direct Reports:
? Supervise the admin team’s work performance and their need of education and support.
? Evaluate individual staff performance and work actively with feedback and dialogue talks
? Feedback to team members and the A/A Manager to provide assistance for daily problems.
? Manage leave administration & work load

Education, Skills and Experience
Education and Professional Knowledge
? Bachelor degree or above (priority for major in administration)
? Knowledge of best practices in admin
? Knowledge in local legislation

? Clear communication skills including written, verbal skills, impactful presentation skills to reach to diverse receivers internally and externally.
