Position Summary
Supervise general services staffs to provide administration and facility support
Scope/Supervision and Interaction:
Works with internal colleagues and external administration and facility related suppliers
Job Responsibility:
Administration
Provide administrative support for expatriates, such as working/resident permit, house arrangement, children's tuition, household goods moving, etc.
Manage and updates the registration status and business license of the company
Accomplish what is required or assigned by manager
Be responsible for office 5S, have strong sense of lean office.
Be responsible for office EHS matters
Perform other duties assigned by CMD
Facility
Prepare documents to put out tenders for contractors
Project management and supervise and coordinating work of contractors
Investigate availability and suitability of options for new premises
Calculate and compare costs for required goods or services to achieve maximum value for money
Plan for future development in line with strategic business objectives
Manage and lead change to ensure minimum disruption to core activities
Liaise with tenants of commercial properties
Direct and plan essential central services such as reception, security, maintenance, mail.
Responsible for archiving, cleaning, catering, waste disposal and recycling issues management
Ensure the building meets health and safety requirements
Plan best allocation and utilization of space and resources for new buildings, or re-organize current premises
Check that agreed work by staff or contractors has been completed satisfactorily and following up on any deficiencies
Coordinate and lead one or more teams to cover various areas of responsibility
Use performance management techniques to monitor and demonstrate achievement of agreed service levels and to lead on improvement
Respond appropriately to emergencies or urgent issues as they arise
Qualifications:
Bachelor degree or above
At least 8 years' solid administration and facility support experience in sizeable corporation (in a plant and/or regional office with canteen, company car team, guard, etc), a minimum of 2 years' management experiences management experiences preferred.
Team players, proactive, decisive, with excellent interpersonal and communication skill, good problem solving skill
Hands-on experience in project management (i.e. office renovations)
Excellent verbal and written bi-lingual communication skills
Service, details / internal customer oriented
Very strong of personal Integrity/business ethics
High cost consciousness
High degree of autonomy, and is expected to accomplish all kinds of special projects as required
Good personality, with characteristic of patient, can work under high pressure...
