职位描述
1. Daily office administration
Arranging business trips, including booking air-flight tickets and reserving hotels for team members and visitors
Arrange meetings, Teleconferences, Room bookings etc. as per team members' requests
Keep mailing lists, arrange and maintain electronic documents as appropriate
Keep team members' leaving records
Send/receive/distribute business letters and faxes
Arrange supplying stationary and printing of business cards
Create or enhance office documents (Word, Excel, PowerPoint) as requested
General data filing
Creating and maintaining staff lists, org charts and other tracking
Support informal translation activities (Chinese-English and vice versa)
Handle administrative matters for international assignees
Keep track of fixed assets and keep them safe; handle department's library of books
Work as part of local and international network of administrative assistant on any applicable activities
Support adhoc requests by departments' managers and other team members
2. Department head assistant
Manage department head schedule and set up individual and regular meeting schedule
Language/translation related communication support
Support daily ad-hoc requests
3. Recruitment and on-boarding support
Communicate with candidates on interview arrangements and other matters, track status and maintain candidate files
Arrange logistics for interview, including setting up agenda, booking air-flight/train tickets and reserving hotel, host candidates on interview day etc.
Coordinate workplace setup of new starters (location, phone, PC, stationary etc.)
Provide training and instruction to new starters on administrative matters and keep related documentation up to date
4. Expenses management
Collect, double-check and transmit the expense reports in a timely manner
Coordinate and keep track of expense reports approval, transmittal and final reimbursement process within reasonable time frame
Some of these responsibilities may be shared with another (possibly third-party) assistant
Ideal background
Education: Bachelor or higher
Languages: Proficient English (spoken and written)
Experience/Others
At least 6 years of prior experience in working as a department assistant, preferably in an international company, are desirable
High reliability and strong work ethics; customer-orientation
Proactive and self-motivated
Computer skill, e.g. Word, Excel, PowerPoint
