职位描述

  1. Department: Office of the Vice President, Corporate Secretary
  2. Admin Assistant (shareholder support)

Responsibilities

  • Provide admin support to officials of the Board of Governors and the Board of Directors
  • Keep on top of current member-specific issues
  • Maintain accurate and updated account of shareholding and capital subscription
  • Maintain accurate and updated list of Members and Governors and maintain close liaison with their points of contact
  • Support processing of businesses of the Board of Governors
  • Support processing of businesses of the Board of Directors
  • Provide support to Management visiting individual shareholders
  • Provide logistical support for the Board of Directors, prepare meeting venue, including physical and virtual meetings, pre-Board briefings and committee meetings
  • Arrange Board officials’ accommodation and transportation, make reimbursement for the Director
  • Support the Constituencies daily work and address requests and questions from the Constituencies
  • Organize Constituencies meeting, facilitate the Corporate Secretary’s approval for the meeting, help with the logistic arrangement, make the payment for the Constituencies and make reimbursement for the Directors and Alternate Directors
  • Organize Constituencies meeting by virtual way, including on Board Portal

Requirements

  • Strong communication skills (via phone, email and in-person)
  • Demonstrated organizational skills with an ability to think proactively and prioritize work
  • Experience exercising discretion and confidentiality with sensitive corporate information
  • Relevant relation management experience, experience with international or financial institution(s) a plus
  • Proficient in verbal/written English and Chinese; multi-cultural exposure a plus
  • Solid experience with MS Office applications is a must
  • Bachelor degree or above in related fields from a reputable university
