Operation Assistant
General job description (building material & furniture)
Operation Assistant are responsible for coordinating shipments of on-going orders (from receiving order advice through preparation of and release of documents). The operations assistant effectively takes ownership of the order process and makes every effort to ensure on-time shipment. The operations assistant will follow-up on confirmed orders continuously according to certain set milestones and update order status accordingly in SWAPP (and other application as advised). Further, the operations assistant will receive QC inspection applications from suppliers and arrange the inspection schedule. Finally, the operations assistant will engage in the preparation and fast release of the shipping documents. She will also assist in handling of admin work when requested. The above job scope covers building material as well as furniture.
List of main responsibility
1. Receive order advice (OA) from customer service (CS). Allocate to appropriate supplier and ensure consistency with requirements.
2. Double check prices with business developer to ensure processing is done according to most recent and competitive price
3. Ensure supplier receives and confirms order
4. Follow orders according to milestones (confirm, material receipt, booking, apply QC inspection) and ensure on-time shipment
5. Receive order change requests (from customer / supplier) and coordinate with CS and business developer
6. Maintain accurate and up-to-date order information in SWAPP + other application as advised
7. Receive QC inspection application from supplier and arrange QC inspection schedule
8. Classify orders as “passed” and “blocked” based on QC inspection, update SWAPP / CS / BD with status
9. Coordinate and prepare shipping documents and ensure suppliers are paid timely.
10. Receive (BD) and execute sample shipping of existing product samples and sample swatches when requested
11. Assist in admin work when requested
Qualification requirements
1. Honest, responsible and positive working attitude
2. Self-motivated and organized
3. Know well about international trade, especially export procedures.
4. Good communication skills
5. Good command of written and oral English.
6. Team Spirit. Good character and ability to work with others
