Main Activities
- Meeting Service team coordination
- Daily MS team administration, meeting arrangement and payment coordination
- Remind team member to finish team weekly/monthly reporting
- Run reporting
- Cooperate with IT, FIN to raise and solve system issues
- Meeting operation and management - support other meeting service specialist wherever required
- Partner with business and understand meeting requirement
- Coordinate with all parties and ensure meetings running smoothly (business, GP, Compliance, vendor etc.)
- FCPA coordination
- Prepare necessary meeting documentations
- Onsite meeting support and coordination when required
- Hotel contract and payment
- Monthly accrual coordination and expense tracking
- Filing and payment coordination
- Problem solving in daily operation and operational issues escalation to team leaders
- Maintaining customer centricity and service excellence
Required
- 1+ Years in Meetings Management/ Travel experience or administration
- Good oral and written English
- Familiar with MS office(word/excel/powerpoint)
- Good communication skills and cross functional cooperation
Preferred
- Experience with Sales/Marketing Meeting Processes
- Meeting management and/or Travel industry experience
- Meeting management in a corporate environment, pharmaceutical industry preferred
