1 Position Objective:
1.1 File Management
1) Policy: Improve the filing policy and update relevant forms according to company demands and relevant regulations.
2) Collect: Gather materials to be filed from teams and employees.
3) Classify: Sort or classify information according to guidelines such as content, purpose, user criteria, or chronological, alphabetical, or numerical order. Keep the files both in scanned digital copies and hard copies. Assign and record or stamp identification numbers or codes in order to index materials for filing.
4) Maintenance: Place materials into storage receptacles, such as file cabinets, boxes, bins, or drawers, according to classification and identification information. Perform periodic inspections of materials or files in order to ensure correct placement, legibility, and proper condition.
5) Find and retrieve information from files in response to requests from authorized users.
6) Track materials removed from files in order to ensure that borrowed files are returned.
7) Modify and improve filing systems, or implement new filing systems.
8) Eliminate outdated or unnecessary materials, destroying them or transferring them to inactive storage according to file maintenance guidelines and/or legal requirements.
9) Record: Keep records of materials filed or removed, borrowing history, and update info. etc.. Using logbooks and computers.
1.2 Official Document Management
Written and Prepare official document for GM or Development Dept which need to send to company cooperative partner.
1.3 Licensing Management
1) Managing and filing all company license, ensure all license keep in good condition. Prepare all documents related to the store opening request. Ensure that documents are acceptable by relevant authorities and that English translation of each document is provided, up to the standards of an international company. The main goal is to help development dept and OPS support obtaining the licenses for new stores in a timely and cost effective manner..
2) Ensure timely post-registration procedures notification to OPS Support.
3) Ensure timely notify Development Team & OPS Support to register for additional licenses (hygiene license…) and business scope range (F&B, alcohol, tobacco…)
4) Ensure timely notification of renewal of all licenses to OPS Support.
2 Skills, Knowledge and Experience:
2.1 University degree specialized in Chinese or law
2.2 1-2 years experience in key legal position Legal management experience related to licenses, especially in a restricted area
2.3 Sound knowledge of MS Excel and standard accounting software
2.4 Good organization skills
2.5 Good communication skills
2.6 Able to work under pressure and on a flexible schedule
2.7 Fluent in English
2.8 Reliable and punctual
2.9 Flexible
2.10 Organized
2.11 Analytical
2.12 Team Player
