? Assist in ensuring the safety, security, appearance and functionality of facility. Taking immediate action on building problems ensuring code, safety and security regulations are adhere to, interacting with building management, global security and outside vendors are required.
? Under guidance, assist with the planning and execution of internal office moves.
? Assist in completing facility relate request, working with property manager or appropriate vendor.
? Code invoices for approval of site/reginal facilities managers.
? Ensure internal and external facilities policies and procedures are followed.
? Maintain inventory – for offsite storage.
? Order all facilities related supplies.
? May act as the facilities representative on Emergency Response/Building Evacuation teams.
? Co-ordinate service requests for reactive, preventive and planned maintenance schedules for central office equipment, M&E, fabrics, fixtures, fittings, safety and security equipment and supervise the workers where appropriate;
? Manage stakeholders and FM contractors across all technical and non-technical service, ensuring compliance to terms of service, and resolving issues.
? Maintain adequate levels of FM supplies including but not limited to stationeries, pantry, kitchen etc. at all times, and ensure all orders for supplies are supported by the appropriate approvals from the Quintiles Regional FM Manager, and are placed in compliance to their Procurement and Order Processes.
? Raising and processing of all FM-related Purchase Requisitions and Purchase Orders for the Dalian Office.
? Ensure the appropriate recharging of non-FM orders, orders outside the basic FM range of supplies and/or bulk orders for an individual’s/departments dedicated use.
? Cross check invoices relating to FM spend before forwarding to Finance for payment processing.
? Constant monitoring of all FM suppliers to ensure cost savings and maximum benefits and customer service to stakeholder.
? Prepare and ensure timely delivery of fixed and ad hoc facility .reports, ensure regional
consistency in data submission and filing procedure.
? To maintain a robust filing system.
? Provide clerical/administrative support to the regional facility team where required.
? 100% compliance to Quintiles Safety, Health, Environment and Security policies, processes and procedures.
Facility Management
? Liaise with Building Management regarding all maintenance and cleaning and ad hoc matters as required.
? Preparation of FM operating procedures
? Reporting monthly spend, energy data, supplies consumption and preparation of annual budget and environmental report
? Seeks responsibility and welcomes accountability.
? Measures customer satisfaction to maintain and improve performance, quality and timeliness.
? Sets clear performance standards and objectives for self and others, monitors progress against them, and takes appropriate actions to achieve delivery of results.
? Essential - Excellent interpersonal skills and fluent English communication skills.
? Essential - Ability to establish and maintain effective working relationships with co-workers, managers and clients.
? Essential – At least 3 years relevant experience.
? Essential -Competent in MS Office application: MS Mail, Excel, Word.
