Qualifications:
Essential: Master’s degree; High level of IT skills including MS Word, Excel and PowerPoint; Good working knowledge of minute taking; Good working knowledge of email/ electronic calendar and internet; Fluent in Chinese and English; Excellent communication and presentation skills in English; Excellent interpersonal skills and ability to communicate confidently at all levels, including the ability to deal appropriately with highly confidential matters; At least one year of experience in secretarial role; Experience of working in an international setting; Experience to offer translation and interpretation at high level meetings and presentations; Experience to use own discretion and respond to issues with tact and diplomacy; Proactive “can do” approach and ability to demonstrate initiative; Highly organised, flexibility and ability to work under pressure and respond to tight deadlines in a variety of situations; A strong team player who works collaboratively in a multicultural environment; Willingness to work out of office hours or during holidays occasionally.
Desirable: Administrative and secretarial qualifications; Skill in researching, drafting and editing reports; Advanced planning and organisational skills; Understanding of the research environment.
Salary & Benefits: RMB76,000 – RMB119,000 per annum before all deductions, depending on qualifications and experience.
Job Outline:
Provide support for the activities of the Vice Provost (Research and Knowledge Exchange) and Senior Managers of Research and Business Development Office (hereinafter as “RBDO”).
Main Duties and Responsibilities:
- Manage the Vice Provost’s diary in such a way that he/ she makes best use of his/ her time; manage computerised diary system and collate all appropriate documentation, derived from numerous sources, prior to meetings
- Support the Vice Provost’s role on UK based committees, boards, task teams, and projects
- Interpret at meetings and translate documents including reports for University Board Meetings
- Plan and organise meetings, prepare and circulate agendas and supporting papers, and take minutes for meetings chaired by the Vice Provost, as well as monitor actions and implementation plans as appropriate
- Support the preparation of presentations and reports to be delivered by the Vice Provost and Senior Managers by undertaking web-based research and presenting such material in a suitable form for insertion into reports and documentation
- Plan and organise own activities to ensure that deadlines are met
- Participate in and coordinate RBDO projects and activities by taking a proactive approach in preparing for important dates and reviews in the Vice Provost’s/ RBDO diary
- Plan and organise meetings both internally and externally, including appointment panels, on behalf of the Vice Provost and Senior Managers. Manage itineraries for visitors to the University, collate information brochures, arrange refreshments, receive visitors, which often include senior staff from government, industry and other academic institutions
- Organise domestic and international travel, preparing itineraries, booking flights, transportation, and hotel accommodation, obtain visas for both Vice Provost and Senior Managers in RBDO
- Circulate communications as appropriate to academic and administrative staff, and following up actions taken. Produce and circulate the Research and Knowledge Exchange newsletter in collaboration with the RBDO team
- Draft responses and reports for the Vice Provost and prepare correspondence to a high standard, much of which is highly confidential
- Assist the Vice Provost and Senior Managers in preparing briefings and presentations for visitors to the University and during other occasions
- Provide confidential translation and interpretation for the Vice Provost and Senior Managers as and when required
- Act as a filter for all key enquiries (in person and by telephone/ email) and deal with such enquiries by channelling them to personal within the Faculty/ University and ensure that actions are taken appropriately and promptly
- Carry out any other administrative duties appropriate to the grade and role of the post holder, as directed by the Vice Provost and Senior Managers
