Qualifications:

Essential: Master’s degree; High level of IT skills including MS Word, Excel and PowerPoint; Good working knowledge of minute taking; Good knowledge of email/ electronic calendar and internet; Fluent in Chinese and English; Excellent communication and presentation skills in English; Excellent interpersonal skills and ability to communicate confidently at all levels, including the ability to deal appropriately with highly confidential matters; Experience of working in an international setting; Ability to translate and interpret at high level meetings and presentations; Ability to use own discretion and respond to issues with tact and diplomacy; Ability to work with minimum supervision and prioritise workload; Proactive “can do” approach and ability to demonstrate initiative; Flexibility and ability to work under pressure and respond to tight deadlines in a variety of situations; A strong team player who works collaboratively in a multicultural environment; Willingness to work out of office hours or during holidays occasionally.

Desirable: Administrative and secretarial qualifications; Skill in researching, drafting and editing reports; Advanced planning and organisational skills; Secretarial/administrative experience at a senior level; Empathy with students and staff from different cultures.

Salary & Benefits: RMB76,000 – RMB119,000 per annum before deductions, depending on qualifications and experience.

Main Duties and Responsibilities:
- Manage the Vice Provost’s diary in such a way that he/ she makes best use of his/ her time; manage computerised diary system and collate all appropriate documentation, derived from numerous sources, prior to meetings.
- Serve as Secretary to the Campus Teaching Committee, plan and organise meetings, provide agendas and produce minutes as well as monitor actions and implementation plans as appropriate. Liaise with student representatives on this committee and Teaching and Learning Board as required.
- Provide administrative support for the Teaching and Learning Enhancement Office (hereinafter “TLEO”) to ensure the office runs as efficiently and effectively as possible including support for academic misconduct and appeals processes.
- Interpret at meetings and translate documents including reports for University Board Meetings.
- Support the Vice Provost’s role on UK based committees, boards, task teams, and projects, including Teaching and Learning Board and International Strategy Board.
- Prepare and circulate agendas and supporting papers, and take minutes for meetings chaired by the Vice Provost.
- Collect, collate and edit material for the TLEO from a wide range of sources and present such material in a comprehensive fashion for insertion into reports and documentation for management and committee review.
- Plan and organise own activities to ensure that deadlines are met.
- Participate in and coordinate TLEO projects and activities by taking a proactive approach in preparing for important dates and reviews in the Vice Provost’s diary.
- Plan and organise meetings both internally and externally, including appointment panels, on behalf of the Vice Provost. Manage itineraries for visitors to the University, collate information brochures, arrange refreshments, receive visitors, which often include senior staff from government, industry and other academic institutions.
- Organise domestic and international travel, prepare itineraries, book flights, transportation, and hotel accommodation, and obtain visas for both Vice Provost and Senior Manager in TLEO.
- Circulate communications as appropriate to academic and administrative staff, and follow up actions taken. Produce and circulate the Teaching and Learning Newsletter in collaboration with the TLEO team.
- Draft responses and reports for the Vice Provost and prepare correspondence to a high standard, much of which is highly confidential.
- Assist the Vice Provost and Senior Manager in preparing briefings and presentations for visitors to the University and during other occasions.
- Provide confidential translation and interpretation for the Vice Provost as and when required.
- Act as a filter for all key enquiries (in person and by telephone/ email) for students, University staff, etc. and deal with such enquiries by channelling them to personal within the Faculty/University and ensuring that actions are taken appropriately and promptly.
- Carry out any other administrative duties appropriate to the grade and role of the post holder, as directed by the line manager.
