Responsibilities:

• Organize office for maximum operational efficiency. Manage Sharepoint gatekeeper, document classification and storage location to compliant to GIS1 and GIS2. Work with other sponsors to resolve issues. Maintain filing system/follow up file such as daily report out AIMs Metric. Log and track assignments.
• Follow policy to complete internal audit such as Sharepoint, Annual File Review, DRIM, etc. Also, set reminders to team members tracking the competence and give feedback to controller.
• Maintain/coordinate executive's or manager's meeting schedules. Make travel arrangements (domestic and foreign) for Program Team. Coordinate travel plan, follow up E-tracker and complete TER according to Travel Policy. Help collect and report out department travel expense.
• Arrange meetings and conferences, including assisting in making arrangements for visiting executives. Support meeting preparation, materials and sharing decks. Set up timing and location by following key attendances schedule. Follow up take away assignments when required.
• Perform other related duties as assigned such as sorting, filing, posting, placing telephone calls, translating/interpreting, typing and the like. Create charts, graphs and slides and prepare simple business correspondence for executives/managers. Assist in the compilation of presentation materials.
• Assist other departments when required because of workload.
• Assist carry out certain business projects independently or as a team member as required.

Qualifications:

• Bachelor degree
• Minimum 3 years relevant work experience
• Experienced in using Outlook, Word, Excel, Powerpoint software.
• Strong English language skills both oral and written. Fluency in reading, writing and speaking
• Mature interpersonal skills, pleasant personality, organizing ability, coordinating ability, team work spirit
• Will be required to travel to support management team – specifically within China.
