职位描述

Job responsibilities
- Administrative Duties :
o Secretarial support to HR Manager
o Assist Manager HR & Admin to monitor all administrative services and ensure that they are running smoothly and effectively
o In-charge of all inbound & outbound travel arrangements for Shanghai area including flight & hotel accommodations, as well as all subsequent land services such as transportation, guest reception, meals arrangement, etc.
o Reponsible for all general and management meetings and conference logistics arrangement of Shanghai area as well as other China cities if needed.
o Update Legal documentation, licensing, etc are in compliance with Company and government policies.
o Management of leases and administrative activities of all offices in China.
o Offices housekeeping and environment maintenance, monitor such services from third-party are effective and sufficient, to create a clean and tidy working environment for all staff.
o Office supply administration, evaluate and monitor the sources and cost, ensure the quality and cost-effectiveness.
o Office equipment maintenance and purchasing projects including searching suppliers, compile comparision proposal for management approval and follow-up purchasing actions according to purchasing policy and procedures.
o Assist Manager HR & Admin and closely coordinate with Finance Department for handling the general insurance policies (i.e. property all risks, general liability, marine insurance, etc.) for the properties, assets of China sales organization.
- Human Resources Supports :
o Assist the training activities arrangement and logistics and training records update
o Drafting and preparing announcement for personnel movement and office administrative issues.
o Organizing employees and HR activities and events e.g. annual dinner, celebration events, etc.
- Others :
o Support HR projects implementation
o Support other personnel and administrative related ad-hoc projects


Requirements

- Bachelor degree or equivalent, majoring in Human Resources, Business or Commerce related discipline will be a plus
- Minimum 2 years experience of office administration or personal assistant role to senior executive in foreign companies is preferred
- Strong communication/people skills is required
- Must be energetic, efficient, responsible, quick learner & self-motivated
- Good command of Microsoft Word, Excel, Access and PowerPoint
Fluent English both in speaking and writing
