职位描述
Job Summary (Purpose of the job) Provide administrative support to the staff in Shanghai Office Major Duties Performed (Main Functions) l Provide administrative/secretarial supports to the BU heads/functional leaders without assistant, including reserve hotels, book air tickets and other ad hoc tasks as required; l Arrange seating for the new hires according to HR’s pre notice and update office floor plan every month; l Apply new teleconference code for the new hires and update teleconference user list every month; l Control and record petty cash, update monthly petty cash report; l Manage and supervise monthly payment requests preparation and submit to finance department; l Assist with department head for better office suppliers management; l Work with IT to oversee office facilities and maintain office security policy; l Be responsible for the visitor’s visa application and expatriate’s work/residence permit renewal; l Organize/host various internal and external activities and inter-company events; l Research and compile information for routine reports and special assignments; l Compose, prepare, edit and proofread letters, reports and other correspondences; l Provide day to day supervision and guidance to Receptionist; l Organize and implement department internal trainings; l Other ad hoc tasks assigned by direct/department manager. Minimum Education, Experience, & Specialized Knowledge Required: l College degree or above; l Minimum 1 year of relevant experience; l Good command of oral and written English; l Familiar with Word, Excel, PowerPoint and other office software; l Be proactive, be patient, good team player.
