POSITION PURPOSE

Responsible to assist the Facilities Manager in managing facilities in accordance with company policies, procedures and standards in areas of expense management and administration, physical facilities management and customer relations.

Responsibilities:

· Management of services in the areas of FM/building management, operational soft FM services and operational hard FM services, mail services, etc.

· Contract management in the areas of management activities, compliance management and third party management, ensuring overall performance of the contract and required deliverables and customer satisfaction;

· Monitor and report on operational delivery by contractors and suppliers across all outsourced and self delivered FM services

· Source vendors, contractors, sub-contractors and suppliers to comply on the specifications, and ensure the purchasing policies and procedures are aligned;

• Supervise vendors and maintenance staff
• Perform regular inspections
• Assist FM in the development of operation and capital budgets
• Work with FM to review financials, accruals and report on variances
• Develop/maintain positive relationships with internal/external customers and facilities staff
• Identify and implement savings initiatives
• Process invoices in a timely and accurate manner and respond to A/P inquiries
• Work with client’s security manager to resolve and investigate all security related issues
• Coordinate/manage insurance and service contract requirements with associated vendors
• Manage assets in compliance with contract and SLA’s
• Manage customer requests and work with call center to ensure that SLA’s are met

Requirements:

· University Degree in facilities management or business administration;

· A minimum of three years relevant working experience with minimum two years experience in MNC;

· Work experience in Banking environment is preferable;

· Strong leadership and management skills to work with contractors;

· Management accounting knowledge is preferable;

· Fluent spoken and written English.
