Job Description
Reception services
1.1.?????? Visitor greeting & reception hotline.
???????????? Receive visitors, provide courteous reception service to guests, coordinate with employees on picking up their visitors.
???????????? Answer internal caller's questions about FCM service.
1.2.?????? Lobby display equipment management (TV etc).
???????????? Ensure display equipment in the lobby are in working order and turned on with correct contents at the right time.
???????????? Upload / broadcast contents approved by C/CGR3-CN relevant person and timely update as necessary.
1.3.?????? Business card ordering & distribution.
Process business card orders for RBCN, AACN and RBCT colleagues.
???????????? Summarize internal orders on a weekly basis and place orders with vendor.
???????????? Coordinate any clarifications or amendments required.
???????????? Arrange for business cards receipt and users picking-up / sending out to off-site colleagues with proper documentation.
???????????? Double check received business cards for off-site colleagues before sending out.
???????????? Process payment according to actual goods received.
1.4.?????? Public meeting room management.
Responsible for public meeting rooms management
???????????? Manage public meeting room keys and meeting room equipment accessories (remote controls, stand-alone projectors etc). Track and follow-up on borrowing and arrange replacements as necessary.
???????????? Central point for meeting room-related questions e.g. eRoom system consultation and meeting room services etc.
???????????? Assist to resolve conflict bookings in high-priority cases.
1.5.?????? Coordinate RBCN front-desk call service with service provider
???????????? Manage the cooperation with vendor for the call service.
???????????? Process payment according to services received and vendor performance.
2.?????????? Storage room management.
2.1.?????? Assign storage space to users according to available resources and user requirements.
2.2.?????? Keep registration records and storage room keys.
2.3.?????? Ensure 5S in storage room, e.g. remind users to keep public areas tidy.?
3. Provide assistant service to departments as aligned with supervisor. Tasks can include the following depending on department’s needs:
???????????? Prepare reports / presentations
???????????? Order daily office supplies.
???????????? Business visa invitation letter
???????????? Process / review reimbursements
???????????? Local business trip arrangements
???????????? Manage department homepage
???????????? Other tasks as agreed with departments
Qualifications
???????????? At least 1 year experience in similar function.
???????????? Strong written and verbal communication skills in both Mandarin and English.
???????????? Good in computer operations, familiar with MS office tools like Excel, WORD, POWER POINT.
???????????? Flexible, pleasant personality with good interpersonal skills
???????????? Amicable team player willing to take on additional responsibilities if required.
???????????? Professional and proactive service attitude.
?
Candidates with the following attributes will be considered first:
- Competent powerpoint user
- Accounting / finance background with good sensitivity to figures / data.
(The accounting/finance department is receiving assistant services from the facility department)
