The main responsibility of this role is to manage the process between the ordering of vehicles (trucks/buses), engines components and the delivery of them to the dealers and / or customer, and to provide administrative support for the sales team.
This is achieved by working in a structured methodical way adhering to defined processes and procedures. Organisational skills are essential as many activities are deadline driven. Focusing on communication with internal and external customers and suppliers, whilst conveying a positive Scania brand image, is the key to fulfilling this role efficiently.
1. Order Administration(trucks, buses, engines and components)
· Order administration includes shipping, import of vehicles, customs clearance, handling of contracts, data processing and volume planning for production;
· To update the stock situation in COW ;
· To follow-up of orders in pipe line, drafting sales contracts, handling of order forms, follow-up of USD contracts as well as managing the international logistics and customs clearance;
2. Logistic Management:
· To Handle insurance claims, payment confirmation, arranging PDI, issuing VAT invoices, transport, stock management, update of database, whiteboard and sales file;
· To follow up the inland transports to warehouse and to the dealers;
· To manage the stock, ordering PDI for new vehicles(truck/buses), ensuring they have insurance and license plates(tucks/buses) as well as administering claims for insurance and warranty.
· To be responsible for reimbursing the workshop for PDI(trucks/buses).
· To follow up the process “from Order to delivery” for trucks, buses, engines and components.
Candidate Requirements
? Bachelor degree or above in International Trade or Logistic Management;
? Similar administrative experience;
? More than 3 years working experience importing/exporting;
· Basic product knowledge
· Understanding and be familiar with the customs declaration process
· Establishing deep understanding of customers, their industry, business offerings(products/services/solutions) and needs. Guiding clients to the best solution by maintaining the relationship ;
· Be able to effectively transfers thoughts and expresses ideas orally or verbally in individual or group situations;
· Adding structure and planning to work situation by defining priorities and completing the work in a systematic, efficient fashion within the required timeframe according to expectations;
· Be able to explore opportunities and take actions, striving to doing more than is required or expected. Preferring to take own initiative under the pressure;
· Demonstrates the effort, willingness and ambition to achieving results and meeting objectives and respond proactively to avoid disappointing results;
· Able to effectively work and complete group assignments in both formal and informal settings. Works cooperatively, with a positive attitude with others to achieve common goals, valuing others contributions;
· Attention to details to ensure accuracy while working to strict deadlines;
· Proven ability to work accurately with figures and spreadsheets in combination with good computer skills in a Microsoft Windows environment;
· Fluently in reading and writing English
