Accountabilities:

Briefly describe HOW each accountability is typically achieved
Customer Enquiries
15% Understand and deal with kinds of enquiries from both external and internal customers’ during daily activities, satisfy customers based on department SLA - CC team is available from 8:30 to17:30 continuously, from Monday to Friday to receive and handle various enquiries from both external and internal customers
- Highlight the emergency to line managers if customers’ enquiries can’t be met according to department SLA or the issues are abnormal, then decide the priorities and find solutions together
Create Quotations
10% Prepare sales quotation via SAP system - Check CRM opportunities for new equipment sales before quotation
- Prepare normal quotations within 1 working days according to department SLA
- Ensure Edwards T&C'S are referred in quotation phase.
Order Processing
60% Follow up order implementation closely to meet customers’ requirements - Existing customer -100% correct order entry within 1 working days after receiving PO upon the correct approval procedure and availability of spec. file according to department SLA
- New Customer - 100% correct order entry within 2 working days according to department SLA
- Delivery date check & confirm back to customers
- Push prepayment and arrange shipment accordingly
- Post invoice in SAP after shipment, send final invoices to customers based on department SLA
- Documents (proforma invoice, packing list, LC documents,etc) to support customers & business requirements
- Customer complaint handling via CRM or Fracas
- Closely follow up order status, to make sure each section of whole chain is in same step to meet customers’ requirements
- Escalate abnormal issues timely, proactively seek for solutions till it is closed
- Customer system fulfilment & follow up
- Other orders follow up, such as L&E, ZDS&ZDI, ZKB, etc.
Training
8% Attend training regarding systems, procedures and soft skills improvement - New job training or refresh training for systems (SAP, CRM, MBT/QAR, etc.)
- New job training or refresh training for related procedures or job aids
- Training for new projects, based on global timeframe
- Soft skill training according to personal development plan
Others
5% Other assigned job by team leader or manager - Kinds of reports support business requirements

Skills, Qualifications & Experience: (Recruitment, Selection, Career Development Linkage)
Skills:
Technical/Specialist skills
Fluent on verbal and written English, as well as hands-on knowledge of computer software (Word, Excel, PowerPoint….), etc.
Qualifications: (Basic Role Requirements)
Academic and/or Professional
University or college degree with major in business, trade and equivalent
Experience:
Type and approximate duration of work experience (to be used as a guide only) Minimum 2 years’ experience in customer service and supply chain field, foreign invested company is preferred
Knowledge of import/export procedures, LC, SAP experience will be an advantage

Behavioural characteristics required to perform the job to a level of excellence Interpersonal and communication skills, particularly over the telephone, to build sound relationships with customers.
Analytical & problem solving skills, to find & highlight potential risks and seek the solutions together with related sources.
