Business Title : Import Process - 进口单证员

Reports To (list day to day Manager) : team leader – Import Process
Purpose/Summary:
Check mandatory import reports related to data quality and manifest, clear errors in the reports and
update local charges timely and accurately.
Handle pre-arrival notice, arrival notice sending where applicable in a timely manner.
Handle manifest checking, pre-call task closure and update VAS charges correctly and timely; submit
manifest to local authority timely and accurately as required.

Responsible for Daily Production:
? Report management:
? Check and clear all mandatory reports for vessel arriving.
? Properly filed the mandatory reports against the document filing SOP for audit purpose
as required.
? Customer Code management:
? Ensure customer code updated correctly and create if required.
? Manage transshipment service as per destinations’ requirements.
? Arrival notice management:
? Make sure all arrival notice where applicable are sent timely and properly.
? Check and update the sending status of arrival notices in vessel table as per deadline.
? Manifesting management:
? Ensure manifest submission to local authorities is timely and properly as required.
? Pull and file mandatory reports for audit purpose as required.
? Perform other job related duties as required
? Be actively involved in any system implementation or migration task whenever required.
? Participate in daily/weekly team meeting, share the best practice with peers, contribute ideas
for continuous improvements.
? Be aware of team performance and teams’ targets.
Communication related tasks:
? Interface with destination offices to resolve necessary issues.
? Prioritize communication basis business focus in MCS, APM (BA & PA), Ensure APM standards
of e-mail are followed, in terms of content and format
? Utilizing GSC communication Matrix to route messages to correct party through correct media

? Focusing on providing solution/service in the very first response.
? Follow template if responding /addressing a customer.
? Ensure that communication messages assigned within the group is managed within stipulated
24 hours deadline, however with prioritization of focus on urgent communication
requirements.

? Don’t be afraid of asking questions and supports.
? Ensure company policies are executed accordingly (refer to Employment Contract and
Handbook)
? Maintain tidy working environment in your working areas and ensure timely attendance to

? English ability requirement as BULATS level 2.
? Typing skill (average cross speed at 140 chars/min) with accuracy at 100%
? Advanced level dexterity with GCSS
? Advanced understanding of import process
? Advance knowledge of MCS and Outlook
Technical Skills:
? Good at spoken and written English and Mandarin.
? Be able to coaching team member effectively in daily production, encourage feedback from
members, get rid of barriers on communication with the aims to smooth the process
? Be able to focus on quality, monitor tasks to ensure team high-quality outputs, correct quality
issues and inform management on quality achievement periodically.
? Be familiar with Export Documentation Process, global standard process and Area exceptions.
