Major Accountabilities
1. Policy and process compliance
1) Coordinate the company policies and regulations’ implementation in franchise meanwhile providing support to franchise policies’ compliance with company policies.
2) Coordinate field supports to guarantee the maximum effectiveness of the administrative support in franchise.
3) Monitor and help implementing changes in relevant regulations and policies.
2. Organize Meetings
1) Reserve meeting rooms
2) Organizing and preparing agendas
3) Write meeting minutes
4) Collection and distribution meeting documents
5) Maintenance of relevant databases for meetings and meeting documents.
3. Manage correspondence /databases / documentation
1) Screen, sort and distribute department internal and external correspond-ence.
2) Classify franchise heads correspondence.
3) Assist with expense reimbursement for franchise head
4) Manage all files and documentation with franchise head.
4. Coordinate communications within franchise
1) Inform all department members of decisions made.
2) Ensures flow of information within department
3) Coordinate agendas of department
4) Control vacation days and keep travel overview for department team.
5. Manage meeting/travel arrangement and schedule
1) Make and arrange all meeting/travel plans for franchise head/marketing head.
2) Arrange for travel visas.
6. Control expenses of cost center
1) Maintain control of department expenses and follow-up commitments.
7. Prepare presentations/reports
1) Prepare presentations for franchise head/marketing head.
2) Ensure timely submissions of the reports required in franchise operation.
3) Independently assembles relevant data for franchise head and compiles per-tinent statistics or information.
8. Promotional activity support
1) Ensure on-time distribution of promotional aids and materials to regions
2) Warehouse management to minimum warehouse cost for promotional aid and materials in headquarter
3) Follow up headquarter ACC/MCC approval process for all central / regional promotional activities, ensure on-time approval
4) Support in project management, data tracking, managing logistics for large meetings(including external meeting arrangements)
9. On board & off board management
1) Logistic management of on board / off board process of team members
10. Cross functional communication and coordination
1) Communicate with cross functions, i.e. finance, purchasing, legal, etc., to ensure smooth progress of related process for the brand
Requirements:
Education: College degree above
Languages: Good in English writing, reading, speaking and listening skills
Experience:
1)2-3 years of secretary experience
2)Excellent knowledge of job-relevant software. Stays up-to-date. Exercise independent discretion and judgment and solve complex problems
3)Strong organization and communication skills. Is a team player.
