SUMMARY:
The sales/office assistant of GZ Office is an executive assistant who offers clerical support to the company,must be able to multitask and prepared to manage a wide variety of responsibilities that can change on a daily basis. Perform many duties that might be considered mundane but can save other staff valuable time and help improve their performance.
The Office Associate shall handle or support the following areas including but not limited to:
1. Reception
2. Office service/administration
3. Sales admin
KEY DUTIES AND RESPONSIBILITIES, include the following. Other duties may be assigned:
Reception
1. Answer telephone, screen and direct calls
2. greet persons entering office
3. coordinate team member schedules when required
4. Meeting room arrangement
Office service
1. Attendance record
2. general administrative and clerical support to keep office safe, clean and smooth operations, such as:
1) organize meetings
2)tidy and maintain the reception area
3)supervise office maid’s work
4) coordinate with office suppliers including but not limited in office lord/property management, courier, travel agency, office facility provider etc.
5) Operate office facility and stationery storage
6) handle office expense application timely
7) other tasks assigned by Office/HR manager- China.
Sales admin:
1. Supporting sales team includes managing schedules, preparing and creating sales documents, tenders and customizing ppt/lecture flyers, generating reports related to sales activities and revenue data,
2. Supporting sales department in handling customer and prioritizing customer requests if necessary.
3. Competent in the use of company systems like JDE, Patient Central, SFDC etc. to support sales in treatment status response and follow up.
4. Handle the marketing materials ordering request and work with the warehouse keeper to have the needed materials ordered and sent out to customers.
5. Maintain a basic knowledge in orthodontic/dental concepts and topics.
6. Support in various sales events by preparing documents, logistics support and other task assigned.
QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
EDUCATION and/or EXPERIENCE
2 Years office/sales admin work experience
A College degree
LANGUAGE SKILLS
Chinese native, English very good:
Ability to read and interpret basic documents.
Ability to write routine reports and correspondence.
Ability to communicate effectively with internal and external customers.
COMPUTER SKILL:
Familiarity with Windows environment. Ability to learn software applications quickly. Experience with computer applications such as work processing, spreadsheet, and database programs.
OTHER SKILLS AND ABILITIES:
Ability to focus attention to detail
Ability to act and speak with confidence
Sales support Orientation
A pleasant personality with good interpersonal skill
Ability to communicate effectively
Flexibility, Agility, team-work
