Position : Shipping Supervisor

General Description:

GIFI is a french non-food discount retailer with a network of 400 stores mainly in France.

Since 2008, Ningbo Gifi Trading Co., LTD is a fully owned branch of GIFI supervising an increasing part of sourcing, purchasing and production & shipping follow-up.

In this international trade environment, you will be in charge of the shipping department and have daily communication with the French HQ and other branches.

Scope of action: From the shipment instructions to the sending of Shipping documents to the Import Department in France HQ

Function : Under the responsibility of Office Manager and Import Director, you will have to :

- Manage the shipping department team (5 persons);

- Control that all the Standard Operating Procedures are dully respected by your team

- Update the procedures if needed

- Study the workload, dispatch to your team, adjust the repartition of tasks if needed

- Monitor the operations:

o Pre-booking

o Control of Loading on board Authorization or Delivery Authorization

o Booking

o Delivery at consolidation warehouses

o Negotiation with suppliers for some transportation or local charges

o Preparation of loading plan at consolidation warehouses in accordance with internal management rules such as commercial operations planning for ETA

o Reception and control of Export Documents from our suppliers (B/L, P/L, C/I, C/O,…)

o Sending of Export Documents in due time

o Control of Ocean Freight Invoices and forwarders invoices

- Handle some of the operations during Peak Season

- Ensure the update of our ERP system is done continuously by your team with all required information

- Weekly report of all blocking points, delays or any problem supposed to compromise the arrival of cargo at destination on time

- Communication with colleagues from different departments of the supply chain (schedule request, shipment details, documents issue,…)

- Communication with our forwarders origin offices and destination offices for any problem or question related to shipment, documentation, invoices,…

Skills :

- International Trade (Incoterms, Payment methods, Ocean Freight, Freight forwarding, Import/Export procedures…);

- Logistics (knowledge about container equipment, loading capacity…)

- Fluent English and Mandarin (Proficiency in spoken English)

- French is recommended

- Computing (Microsoft Office, Advanced Excel user)

- Min 4 years relevant experience in the shipping industry or international trade
