1. Main Objectives of this position:
- Support the Sales Executives
- Create and deliver quotes
- Handle all required “back-office” activities
- Perform commercial follow-up tasks
- Give clear handover info to Customer Service
2. Function and duties:
Responsibilities & Tasks
Sales Support delivers quality support to Sales Execution (and Area management) with the aim to ‘make it work’. This is accomplished through:
- Developing budget within the assigned customer base (all trades Import/ Export)
- Performing phone call plan in line with CRM KPI’s
- Preparing rate quotations through FIS Quotation tool and transfer into respective RA
- Reviewing quotations on basis of contribution and imbalances aspects using FIS pre calculation
- Coordinating with Trade Management for tender bids, service contract proposals and special rate offers
- Maintaining contracts and amendments in FIS RA
- Handle daily missing revenue report for assigned customer base and ensure timely update of RA
- Handling of Bids / Tenders
- Following up on quotes and existing accounts in conjunction with all respective departments.
- Filing/publishing rates, service contracts and amendments with the FMC
- Managing customers’ expectations and preparing of necessary reports, e.g . performance reports, KPI reports, etc.
- Managing customer disputes including coordination with involved parties, e.g. Operations, Customer Service, Documentation, etc.
- Handling campaign management and coordinate mass mailings for customers

Additional Responsibilities
- Assist in providing sales and marketing reports as and when required.
- Assisting Area Sales management and Sales team where needed.

- Commitment to Hapag-Lloyd’s QEM system (ISO 9001/14001) its policies and procedures.
- To perform all functions with attention to satisfying our customers’ requirements.
- To constructively solve & prevent the recurrence of service failures/customer complaints .
- To raise a Process Exception Advice (PEA) when process failures occur or customers notify service failures.
- To use data and fact when solving and preventing problems.
- To put forth and encourage ideas focused on improving work processes.
- To maintain an approach to doing business that is focused on teamwork and the mutual respect of fellow employees.
- To respond to all e-mails in a timely manner and take appropriate action
- Maintain up to date sales manual to enhance the level of service provided to external and internal customers.
- Promote work process simplification initiatives and participate in Process Working
3. Qualifications and Technical Job Requirements:
Qualifications: [R] Required, [P] Preferred
Experience: 2 Years Sales and/ or Customer Service experience ement [R]
Education: Diploma [R], Tertiary/University Degree and/ or suitable business experience [P]
PC Skills: Windows Microsoft office including Word, Excel, Power Point [P]
Other: Fluency in English (oral and written) [R], Fluent in local languages [P]
