职位描述
Reports to: Direction of Administration
DUTIES & RESPONSIBILITIES:
1. Maintains office services by organizing office operations and procedures; preparing payroll; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.
2. Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
3. Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
4. Designs and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.
5. Completes operational requirements by scheduling and assigning employees and following up on work results for up to 25 employees.
6. Keeps management informed by reviewing and analyzing special reports; summarizing information and identifying trends.
7. Maintains office staff by recruiting, selecting, orienting, and training employees.
8. Develops administrative staff by providing information, educational opportunities, and experiential growth opportunities.
9. Maintains office staff job results by coaching, counseling, and disciplining employees; planning, monitoring, and appraising job results.
10. Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
11. Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
12. Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
13. Prepares financial objectives by preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions.
14. Contributes to team effort by accomplishing related results as needed.
15. Maintains office pantries and cleanliness.
16. Provides customer services and internal catering requirements in office.
17. Provides and organizes transportation when required.
18. Provides meeting services in the offices.
SKILLS & QUALIFICATIONS:
1. At least 5 years with office administration responsibilities
2. Good verbal Communication, English & Mandarin
3. Strong Administrative Writing Skills, Reporting Skills and Microsoft Office Skills
4. Experienced in Supply Management, Budget Tracking, Developing Standards, Promoting Process Improvement, and Inventory Control.
5. Familiar with Delegation, Staffing, Managing Processes, Supervision
