What will I be doing?
Prepare all correspondence, both paper and electronic, and manages and files confidential records and information for the administration office.
Respond to telephone and electronic inquiries from internal and external customers. Compile and tabulates guest complaints and ensures that all complaints are taken care of in a timely manner.
Plan and schedule executive Meetings, Department Head meetings. Record, prepare and distribute minutes of meetings.
Prepare travel itineraries, book air tickets, verify billing and prepare expense reports for the GM.
Compile prepare and distribute promptly weekly outlook of the hotel’s activities for weekly meetings.
Receive and distribute all incoming mail and couriers. Monitor and ensure all outgoing mail and couriers are secured and delivered in time. Monitor all expenses relating to postage and courier is controlled.
Coordinate with executives and compile reports, statistics and financial information for the preparation of annual revenue plans, capital budgets, marketing plans and other special projects.
Liaise with managers and acquire various materials, reports, financial and other information (format, edit, or revise as required) for monthly reports to the owning company and regional offices, after approval from the General Manager.
Keep appointment Calendars for the GM.
Assist in contacting special events companies and for large events and prepare contracts and forwards them for accounting manager’s review.
Ensure GM is aware of unusual events activities during his/her absences.
Maintain confidentiality of documents, emails, correspondence and all other information (arriving or leaving) the administration office.
Plan and arrange arrival, accommodation and other requirement of VIP’s and other personnel from owning company and Hilton Worldwide regional office and headquarters.
Maintain record of all gift certificates and ensure they are up-dated and available for audit review.
Ensure signage and quick flow of all documents (such as checks, purchase orders, letters, gift certificates, and contracts) sent for GM’s approval.
Ensure authorization has been granted by the General Manager,

Organized and accurate in every respect
Ability to multi-task efficiently while still meeting deadlines
Proficiency, at an intermediate level, with computers and computer programs, including Microsoft Office
Tertiary qualifications, or other collegiate-level degree, not required but preferred
Demonstrated ability to build effective internal and external hotel relationships
