What will I be doing?
As Regional Office Accountant, Responsible for the day to day processing in relation to the accounting records of Hilton Hotel Management (Shanghai) Co. Ltd. Supports the Regional Finance Manager in all accounting matters.
Scope of Responsibilities
EXPENSE CLAIMS PROCESSING
Verify regional office team members expense claims and ensure they are in compliance with Hilton policies and procedures. Process in Sun Financials
SUPPLIERS INVOIVE PROCESSING
Ensure all invoices are properly authorized by Functional heads. Code invoices as per Hilton Chart of Accounts and input in Sun Accounts in a timely manner.
PAYMENTS PROCESSING
Prepare agreed periodic payment runs to settle suppliers’ invoices, employees’ reimbursement and payroll.
Prepare all foreign payments, obtain tax certificate where necessary and process payments with the bank
MONTH END
Prepare monthly accruals and assist Regional Finance Manager in monthly Balance Sheet reconciliation
CONTRACTS
Maintain contract file and contract schedule to keep track of all office commitments.
OFFICE CASHIERING
Maintain office petty cash and ensure all expenses are properly evidenced, approved and recorded in Sun Financials.
SUPPORTING FM FOR SOUTH & NORTH BRANCH ACCOUNTING
Review the Journals produced by branches and post to Sun.
AD HOC TASKS
- Liaise with team members’ and their landlords to ensure that tax invoices are being presented in a timely manner and deposits returned timely
- Ensure that all suppliers’ invoices are supported by adequate tax invoices
- Maintain proper filing system for Accounts Payable / Employees reimbursements, journal vouchers
- Prepare cost reports to key departments
Supportive Functions
In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the company.
- Support for Shanghai Finance team
- Support for Shanghai Regional Office team members
- Any and all other job duties as assigned.

- Basic financial accounting knowledge.
- Absolute discretion and confidentiality regarding sensitive information.
- Strong problem solving skills, including ability to effectively address any issue in collaboration with others as appropriate; ability to proactively identify and prevent potential problems.
- Ability to work well under pressure and effectively handle multiple and concurrent demands.
- Ability to work independently; includes the ability to recognize need for involvement of other team/peers and capability to effectively facilitate that collaboration.
Required Qualifications
- Experience working in a financial environment for at least two years
- Working knowledge of MS Word, Excel, Powerpoint and Sun Financials
