Reporting Line: Managing Director, Miele China


Broad Outline

Miele China is in start-up phase,and it is highly desireable to have the services of a Personal Assistant (PA) to support the Managing Director in her efforts to reach targets and achieve on Miele China's strategic goals. This position provides an opportunity to develop great skills during this early stage of company evolution and creates opportunity for career development.

In broad terms the PA needs to be capable of competently dealing with situations in the MD's absence and should be confident enough to commission work on the MD's behalf. Maintaining confidentiality is a fundamental requirement for this role. PA needs to keep abreast of organisational issues and have a good understanding of Miele China's aims and objectives.

At this stage of company development the PA will generally work in a high pressure and fast changing environment. Good interpersonal skills, fast learning, open minded, clarity of thought, alertness, cooperative attitude, well organized and can get things done in a systematic way are very essential requirements.


Candidate Qualification:

The ideal candidate will be experienced in handling wide range of adminsitrative and executive support related tasks and will be able to work independetly with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the adminsitrative challenges of supporting a group of diversed people and tasks.

The ability to interact with all-level staff in a fast paced environment, sometimes under heavy pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important.


Must Have:

? 5+ year experience as Personal Assistant/Executive Assistant supporting the executive level leaders in multinational companies.

? Excellent coodination skills for management calendar, complex business meetings, task/project follow up.

? Proficient in English Communiation at both writing and verbal communication.

? Strong knowledge and hands-on in MS Office software: Word, Excel, Powerpoint.

? Excellent in time management and task prioritization. Multi-tasking skill with confidence to interact with management levels and outside business partners on behalf of the Managing Director.

? Action and result oriented hence capable of mult-level interaction. Can stay calm under high pressure yet holding the desire to continuously improve achieving higher standard of work.




Strongly Perferred:

  • Bachelor with major in Business or MBA degree with strong business acumen.
  • Characters: Dedicative, Hardworking, Proactice, and Accountable.
  • Well trained in Executive Assistant/Executive Secretary courses and/or Project Management.

General Duties Include

1. Assist the Managing Director as required in the day to day operation of the company;

2. Be responsible for heavy calendar management and help with the Managing Director's time and diary management

3. Scheduling of meetings, correspondence and coordination with associated follow ups including but not limiting to:


? Selection and booking of venues

? Ensure good preparation of participants

? Prepare Agenda

? Take and distribute minutes

? Follow ups

4. Reading, monitoring, screening and responding to the Managing Directors email;

5. Handling queries and preparing correspondence on the Managing Directors behalf;

6. Prepare and compile report as required (e.g. Monthly Reports from all department heads;

7. Monthly Sales Reports as specified and Others as required);

8. Prioritize and manage multiple projects/tasks simultaneously, and follow through on issues in a timely manner;

9. Organising travel and preparing travel itineraries for the Managing Director;

10. Commissioning work on the Managing Director's behalf;

11. Other tasks as assgined by the Managing Director.
