Global Service Delivery
Within HSBC Technology and Services, Global Service Delivery is a leader in the development of services and processes that are designed around the customer and enable the firm to demonstrate to regulators that its processes and ways of working will deliver consistently high standards of compliance. Every day, customers all over the world are paying bills, buying homes and setting up companies and every day, Global Service Delivery teams are making sure all this happens smoothly.
Role Purpose
We are currently seeking an ambitious individual to join this team working together with colleagues to define, manage and achieve divisional business targets. In this role, you will:
HR People admin
(1) Resignation/Termination (QC)
-Valid the amount of payroll /contributions for social insurance / housing fund /union fee and other related figure for resignee,
-Check resignation worksheets and other necessary documents.
-Valid the Social insurance termination list.
-Monitor result of exit interviews and complete exit formalities with resignees
-Validate relevant data input in the People Soft System
-Monitor relief payment of unemployment issue
-Monitor refund payment progress
-Monitor resignee’s tax figure to FIN
(2) Tax Submission
-Reconcile the tax amount to be submitted to Tax Bureau
(3) Secondee Management
-Review of contractual and remuneration arrangements for all IS,IM,ICE and STA assignments both in and out of the company;
-Provide effective supports to all IS, IM, ICE and STA in and out of the company;
-Ensure the expatriates' local benefits, allowances and individual income tax adhering to local stipulations;
-Prepare documents to relevant parties to ensure expatriate cost remittance is handled in timely manner;
-Coordinate with external parties, e.g. visa service providers, relocation service providers etc, to ensure the smooth logistics of on-boarding / separation process;
-Conduct ongoing maintenance of the company's IS, IM, ICE and STA database, and provide timely and accurate information to management team.
(4) Employment formality
-Monitor the employment formalities administration, social security enrollment/termination formalities
(5) Transfer site Contract Preparation
-Validate the cross site contract as requirement
(6) Certificate issuance
-Monitor the progress the certificate issuance according to the policy
(7) Special Task Support
-Fully support HR special task with good result
(8) Keep good relation for external party
-Assist in monitoring vendors’ performance to ensure service standards are met with our requirements
-Optimize relations with regulators
Performance Management
-Peruse performance reports and take appropriate action, e.g. conduct staff counselling or termination formalities
-Follow up probation confirmation review and provide assistance to HR manager if performance issue is found
-Remind and monitor the submission of eTPM before due date
-Check whether there are any discrepancies, take further action when required
-Validate the appraisal ratings and salary increments
Employee Relations
-Work closely with HR Relationship Manager and support in all matters that concerns employee relations e.g., discipline and grievance, VIP discrepancy, talk with new hires, employee welfare, morale, retention etc.
HR system and MIs
-Assist HR Managers in the implementation and maintenance of HR systems that includes PeopleSoft, HROM, PER and VURV. This includes formulation of processes that ensures proper usage and real time updating of data related to these systems.
-Assist in the clean-up and updating of PeopleSoft database, making sure that relevant information pertaining to personal and job information of each of the employees are relevant, accurate and updated.
-Assist in the training of self-service modules for PeopleSoft, particularly MSS and ESS, ascertain that employees are using the modules properly.
-Provides MI reports on a predetermined frequency, i.e., daily, weekly, monthly, etc. on attrition, retention, sickness, company demographics, Global Resourcing MI requirements, Senior Management Team reports, HR internal reports etc, in timely manner.
Qualifications
-A post-graduate diploma or degree in any discipline;
-At least 1-2 years in a supervisory role, with exposure to appraisals, counseling, team building, and staff development;
-Experience in a processing or call centre environment;
-Ability to speak and understand English fluently, write business letters and reports, and have good conversational / telephone skills;
-Ability to learn quickly, transfer knowledge appropriately, understand and interpret numeric data. Evidence of good analytical, statistical and data mining skills to study trends and make projections. Production management skills and ability to initiate process improvements;
-Leadership and coaching skills, with ability to build rapport with, relate to and effectively develop a wide range of people;
-A comprehensive knowledge in local labour law and regulations is required;
-Proficient in using various kinds of PC soft wares (English and Chinese), e.g. Word, Excel and Dbase;
-Possesses good communication and interpersonal skills;
-Numerate, analytical and detail/time conscious;
-Good at English and Chinese writing skills;
-Preferably have interviewing/ counseling skills.
