职位描述

Assistant to Executive: (30%)

? Provide secretary service for Executive including coordinate and schedule GM's extensive business/personal/family travels, carry out the procedure of reimbursement after trip, visa application, hotel bookings, itinerary, appointments as well as car pick-up arrangement, etc.;

? Schedule and organize meetings including prepare agenda and materials, take meeting minutes and track action items to make sure that meetings are well arranged and priorities are addressed in a timely manner;

? Identify potential problems and shift priorities in order to adjust Executive’s schedule if necessary;

? Any other ad hoc tasks assigned by the Executive.

Admin Support: 70%

? Manage office fixed assists and cleaning. Operate the daily maintenance of office supply including equipment and facilities to make sure the office in a good condition;

? Maintain and update company contact list, Business Contingency Plan, Hardware and Software such as Public Folder or Port Folio;

? Take good care of all visitors to maintain or develop good relationship. This includes logistics, hotels, travel itineraries;

? Develop effective working relationships with internal and external partners;

? Provide information or guidance by interpreting the company policy and process.

? Plan, organize and follow-up on details related to company activities as well as provide admin support on ER activities;

? Take the role of CSR member to facilitate variety of CSR activities and related communications.

ORGANIZATION RELATIONSHIPS:

Internal: SH HR team, SH Finance team, SH IT team, HK Admin team, HK Finance team, HK IT team, Vendor Management, Quality Assurance, Social Responsibility

REQUIRED QUALIFICATIONS:

1. Knowledge, skills & abilities:

? Obtain data analysis skills. Ability to write reports and business correspondence;

? Excellent organizational and planning skills and ability to multi-task. Good time management for emergent issue and priorities;

? Possess positive work attitude with good communication and interpersonal skills and follow-up capability;

GAP INC. POSITION DESCRIPTION

? Must be a self-starter and have a high level of initiative. Able to work under pressure with tight deadlines;

? Detail-oriented, dedicated, responsible, persistent, patient and careful;

? Fluent English in both oral and written;

? Skilled use Microsoft Office.

5 years+ of relevant experience in office administration
