Job description: Executive assistant
The position serves as General Manager assistant in an organization that is characterized by operations with multiple and varied programs/components. These positions serve as the principle administrative support for the General Manager. This person must be exceedingly well organized, flexible, proactive, efficient and enjoy the administrative challenges of supporting a growing international business. Work requires contact with staff, managers of other units within the organization and representatives of the government. Coordinate business functions of the unit that include personnel administration, office coordination and budget monitoring.

Position Responsibilities:
The position will serve as a dedicated and full-time bi-lingual Executive Assistant with responsibility for proactive administrative support of VIR China executives and daily tasks relating to VIR Group’s activities in China.
- General Administrative: quality support of VIR China executives’ daily administrative needs; Chinese and English phone communications, draft letter and email correspondence in Chinese and English; document management; proofread basic English/Chinese translation; management of office/staff calendars; entry and management of office contacts; filing; greeting visitors; support the approval procedure, including contact chopping, signing, application processing… and other administrative tasks as necessary.




- Meeting Management: managing frequent corporate meeting scheduling and related logistics, including vehicle service and interpreters. Basic translation and interpretation as necessary.
- Travel Management: arrange travel schedules including accommodations and air travel.
- Special Events: support occasional planning and execution of special events in China as appropriate.
- Accounting: Supporting office accounting needs as appropriate.
- Marketing and Information Technology: Supporting office marketing, (website updates), and IT needs as appropriate.
- Other: Additional administrative/business systems support as required by office.

Required Skills and Qualifications:
- Service oriented and professional with a positive and proactive attitude.
- Demonstrated success in working in Chinese and western office cultures.
- Ability to work collaboratively between partners and clients.
- Self-driven, capable of working independently, and flexible.
- Honest and trustworthy.
- High attention to detail and organizational skills.
- Be proficient in Windows MS office, especially Word, Excel and PowerPoint.
- Understanding that the position requires the ability to maintain a certain distance with local staff since representing the General manager

Language: excellent written and oral Mandarin Chinese and English.
