Main tasks
Sales phase (if applicable)
The Project Manager takes an active role as a member of many sales teams, as well as being responsible for several projects.
The Project Manager takes part in the project whilst it is still in the sales phase, where he/she is member of the sales team, led by the sales person. The team can be formed at any time during the enquiry phase, but should be in place by the time a request for quotation arrives. The Project Manager is an expert in project implementation and provides technical input to the sales team. The Project Managers main role on the sales team is to help establish the implementation level of the solution to be offered and to create the preconditions for smooth co-operation with the customer. The Project Manager assesses the inquiry, quotation and contract to ensure that they will make for a successful project.
During the sales phase of a project, the Project Manager is responsible for working out the technical section of the quotation and the contract, if requested/agreed with sales project manager. He/she makes comments on the technical section of the inquiry and produces the main project schedule, information transfer schedule, equipment definition, delivery limits scheme, project organisation chart and other documentation required.
Execution phase
During the execution phase of a project, the main tasks of the Project Manager are to lead and guide the project implementation work and to carry out the project as dictated by the quality procedures. He/she is also responsible for the economics of the project, for expediting progress, making the required purchases and to attend to customer interface requirements and change management. He/she is also responsible for the contractual follow-up of the project.
When the Project Manager receives the delivery contract from the sales person, the responsibility for the project execution handed over to him/her. However, during the project, the Project Manager utilises the sales person for support, if need arises.
The Project Manager is responsible for producing a project plan, detailed schedule, project budget and purchasing plan, as dictated by the contract requirements and the quality procedures. He/she records the approved project budget in the project financial follow-up system. He/she keeps the project budget estimate up to date at all times, adjusting it when significant changes are envisaged. The Project Manager gives instructions to the Finance Department to invoice the customer, as required.
The Project Manager conducts follow-up meetings with the project team to ensure that project procedures are constantly reviewed and put on record. He/she approves all phase plans, which are directly related to the project execution.
The Project Manager is the contact person between the company and the customer. He/she is responsible for customer interface during the whole execution period of the project. He/she is responsible for producing project status reports for the customer on a monthly basis, or as dictated by the contract. He/she advises and guides the customer on issues regarding total project delivery, in order to achieve an end product of the highest possible quality. The Project Manager is responsible for sending a customer satisfaction survey to the customer, organising customer feedback meetings and providing analysis of the feedback into the feedback database.
The Project Manager is the contact person for the project team and the Operations unit (orders, changes, approvals).
The Project Manager is responsible for equipment and material purchasing according to the project plan, project budget and purchasing plan. He/she is also responsible for making proposals for engineering subcontracts to the Engineering Manager.
The Project Manager is responsible for contractual follow-up to maintain or to improve our negotiation position. He/she is also responsible for making needed documents.
The Project Manager produces the add-on sales quotations and is responsible for change management. He/she develops and maintains the +/- lists and seeks agreement from the customer for them during the project.
The Project Manager is responsible for the delivery of project equipment to the customer’s site. He/she controls the installation and carries out installation inspection.
Before the start-up the Project Manager is responsible for producing the start-up plan, in conjunction with the customers overall schedule.
Before take over, he/she produces a plan that will enable the closure of the project. All the tasks, that are necessary for take over by the customer and for project closure, are registered in this plan. The Project Manager is responsible for the projects take over (transfer of ownership) to the customer.
At the end of the project, the Project Manager ensures that the whole project is updated in the project library (Kronodoc). He/she updates all of the project management material, produces the project feedback report, transfers project data and responsibility for customer interface to the Local Sales and Service.
Besides the project work the Project Manager develops the working instructions of his/her own assignment and the methods of the Project Unit. He/she works to produce continuous feedback for the Marketing, RTD and Sales departments.
Required knowledge and skills
The post requires B.Sc. (Bachelor of Science) or M.Sc (Master of Science) degree in automation or process (process industry) discipline and an excellent understanding/experience of the project business (at least 5 years experiences as a Senior Project Engineer).
It is an advantage for the Project Manager to have a good working knowledge of total field instrumentation deliveries (valves, field instruments, field engineering, field buses, installation and installation supervision) and different process industry processes. He/she should have a firm grasp of the field instrumentation needs of our customers as well as being fully conversant with our own products.
The Project Manager is presumed to have good leadership and management skills and to be of a systematic and assertive character. He/she must be able to manage complex entities and make decisions, based on multiple input. He/she should also be business and customer oriented, have a good financial thinking and knowledge of contractual and legal issues. He/she should be good public performer and negotiator. He/she must be open minded and ready to share experience and knowledge with the others as he/she is expected to be able to educate, mentor and guide the project team. He/she must be willing and ready to travel. He/she should have good command of written and spoken English.
