KEY RESPONSIBILITIES:

Act as the first point of contact with all internal & external clients for the executives; answer telephone, screen and direct calls
Make all travel arrangements including coordination with 3rd parties in various countries of travel;
Manage frequent changes to travel schedule and ensure all parties are informed of the changes;
Communicate with offshore offices to ensure hotel accommodation are booked timely;
Manage data roam activation for Directors who are travelling;
Prepare Concur expense claims for SVP on behalf of the executives;
Ensure the executives are informed & prepared for all upcoming meetings, conference calls and deadlines;
Interface with colleagues in the United States and Europe to coordinate events, meetings and travel arrangements;
Handle inventory for stationery and pantry supplies;
Responsible for document / package in-coming distribution and out-going awb number preparation;
Other duties as and when assigned
