POSITION PURPOSE
The Administrative Officer(also referred to as “Administrator”) is responsible for providing administrative support to the Center’s Director and the general administration of the Center.
KEY ACCOUNTABILITIES
- Support the Director in all areas of administrative duties towards the managing of the day-to-day of the center such as ensuring that office supplies are controlled and are ordered on time
- Manage the administrative work on behalf of the Director such as completing expenses claim, arranging travel an accommodation arrangements, car pick-up arrangements, etc. This includes extending assistance in the booking of hotel and transportation arrangement for our visiting guests from our Asia-Pacific or the US offices
- Manage and plan the Director’s meeting schedules and calendar proactively
- Prepare minutes of meeting and/or presentation slides or any other information required such as preparation of reports and presentation slides when required
- Maintain a high level of confidentiality in all matters
- Maintain a good filing system for easy retrieval of documents, etc.
- Answer and handle all incoming phone calls of the Director during his absence from the office or when he is in a meeting
- Planning and organizing of major meetings or events such as Business Planning, Business review, Familiarization trips, etc. working with various stakeholders
- Ensure that the vendor providing cleaning services to the center maintains a high level of cleanliness and hygiene within the center. This includes the general office area, pantry and washrooms
- Coordinate and inspect the quality of vendor’s services such as cleaning services, pest control services and washroom cleaning services
- Timely order of pantry, office stationary and office energy supplies; ensuring low wastage and contribute to cost-saving initiatives
- Be the back-up to our Receptionist during lunch, medical leave and annual leave or when the Receptionist have to be away for a period of time during the day
- Arrange and coordinate with building management and relevant government authorities on the maintenance of fire safety equipments and first aid kits. Also, to ensure that we schedule any annual inspection where required
Ensure that all office equipment such as office furniture, lighting, photocopying machines, water dispenser, etc. are in proper working condition. Coordinate with relevant service providers for timely repairs - Ensure that all spare keys are kept and maintained under a secured arrangement. Any usage must be tracked via a log sheet
- Ensure that all doors within the center are properly secured at all times and report of any defects or breach of security timely
- Maintain a tidy and organized storage rooms
- Any other duties that may be assigned by the Director, Guangzhou Customer Contact Center from time to time
