职位描述
Job holder is responsible for handling and following up the whole order process from order receipt to order delivery, as well as handling customer complaint if any in a professional way, to process all procedures in compliance with company/dept SOP; to cooperate with all related internal dept and submit proper services to all of the customers.
ACCOUNTABILITIES & ACTIVITIES :
Comply with all company's and group's HSEQ policies and guidelines.
1.To manage and follow up orders closely / correctly as per SOP
- To input order logbook and input to system accurately in time the order information;
- To make 100% order confirmation via email/fax/phone to customers as per request;
- To ensure price inputted comply with company ASP price list;
- To chase prod schedule to meet customers’ needs and on time feedback to customers/sales.
- To apply special release for SO if needed, and provide customer master file for new account;
- To check order quantity and alert salesman for any big decreasing or increasing orders.
- To proactively inform customers and salesmen on any updated info. of orders.
- To closely follow up with logistic dept for on time delivery to customers.
- To fill all purchase orders and related documents properly as per SOP.
2.To handle the customer complaint professionally.
- To fill in customer complaint form upon receipt of a complaint.
- To distribute the complaint to related dept for investigation and action plan.
- To follow up the status and weekly track the progress and update to customers until closed. -
- To feedback to customers in time and record the complaints properly. –
3.To handle and follow up goods return.
- To fill in goods return application form and get proper approval as per LOA.
- To input return data to system accurately and follow up with logistic for goods taken back or replacement in time.
- To record goods return data properly.
4.To deliver goods level customer services to customers / sales team.
- To pick up phone in time(within 3 rings) & pick up colleague’s phone when they’re absent.
- To reply via fax/email/phone or face to face customer’s enquiry in time with proper attitude.
- To assist on sample application and arrangement.
- To provide requested data(such as supplier survey, COA, MSDS, VAT data, etc) or paper work (such as invoice, packing list etc) on time and order information updated to customers/salesmen in time.
- To visit key/target account with salesmen at necessary for face-to-face communication to get mutual understanding and enhance relationship.
- To provide related delivery or sales report to salesman at needed.
- To assist in payment chase up and manage ASP price list.
5.To assist on forecast accuracy and dept admin. and to achieve dept KPIs.
- To take part in the company project such as ISO/internal audit/annual party/trainings or any other team activities;
- To operate/file strictly comply with SOP and to ensure no findings from any audit;
- To check daily order qty vs shipped qty to alert sales for more updated correct forecast.
- To back up colleagues when needed and assist on other dept admin. or supervisor’s assignment.
QUALIFICATIONS & EXPERIENCE REQUIRED:
- Job Holder needs to have college degree or above.
- Good command of both written and spoken English
- Good command of Microsoft Word, Excel, PowerPoint, and Outlook
- Knowledge in ERP is preferable; experiences in Customer Service function is a must
- Good communication and interpersonal skills
- Team spirit with customer service mindset
- Sense of urgency, good learning skill, can work under pressure
