职位描述
职责:
1.General Administration
? Maintain cost-effective office service contracts (communications, services, supplies, travel) by being aware of contract conditions and relevant deadlines for renewals etc.
? Develop and maintain efficient and accurate manual filing systems.
? Regularly update contact lists for company.
? Process incoming mail and emails sent to the concentrate plant address. Draft and edit correspondence when required.
? Develop and maintain internal administrative systems and controls.
? Maintain a tidy and efficient office environment.
? Minute taking for internal and external meetings when necessary.
? Check invoices, obtain approvals and prepare requests for payment.
? Maintain office facilities(fax/copy machines/cabinet/desk) to be used smoothly.
? Follow up on repairs when facilities are broken or need maintenance.
? Perform 100% accuracy and timeliness on all the reports distributions.
2.Logistics
? Procure office supplies, furniture and equipment as required.
? Maintain office furniture and equipment, including computers, printers, phones, fax,scanner, etc.
? Update and monitor the equipment inventory list.
? Assist in organizing agendas and logistical details for meetings, seminars and workshops, including setting up audio visual equipment, flipcharts etc; arranging refreshments and responding to other reasonable requests.
? Arrange flight reservations, hotel bookings, itineraries and visa requests where relevant.
3.Reception
? Transfer incoming phone calls with good manners and clear conversation skills.
? Perform 100% accuracy on phone transfers and message taking.
? Timely update internal extension list and mobile phone list to employees.
? Receiving visitors and directing them to the appropriate personnel.
? Support IT to ensure the stabilization of telephone system.
4.Attendance
? Work out monthly working days/ hours /OT/leave reports to Finance and HR. Provide monthly attendance reports to HR for payroll calculation.
? Handle daily attendance of all concentrate plant employees and collect leave application timely.
? Maintain attendance system, and file the attendance records with integrity.
5.General finance
? Assist in period end closing and reporting - period end accrual control and general voucher preparation.
? Assist in preparing financial reports to government authorities when necessary.
? Assist in taxation process - prepare and submit tax report on a timely basis.
? Assist in VAT refund calculation and communication with tax bureau.
? Financial system set up and controls establishment - assist in coordinating the implementation and verification of SAP system and appropriate controls.
? Manage petty cash kept in plant with the appropriate accounting entries to properly record in and outs.
? Prepareand report T&E report and supporting invoices of concentrate plant employees.
要求:
1.The candidate should hold a full time bachelor degree.
2.Good at English. At least CET 4.
3.At least 3 years continuous related experience in Admin or HR.
