Real Estate Portfolio Manager
Objective of Position:
The Real Estate Portfolio Manager (REPM) is “the face of the Real Estate & Facilities organization” responsible for all real estate, construction, facilities operations and service management activities. At each site within their area of responsibility, the Real Estate Portfolio Manager ensures that Microsoft's facilities are efficiently and effectively maintained and operated and that service level expectations are met through effective client, vendor, project, and change management. The Real Estate Portfolio Manager will focus on managing stakeholders, working closely with peer groups and in all Real Estate and Facilities operational activities. The Real Estate Portfolio Manager will be supported by Microsoft’s Team of RE&F experts.
The Real Estate Portfolio Manager will work proactively with local Microsoft leadership as well as Finance and Accounting Controllers and other internal business groups to understand their business requirements and identify opportunities where RE&F initiatives can add value, and work collaboratively to develop country-specific implementation plans. They will be responsible for achieving measurable year-over-year improvements in quality, service, and business satisfaction and achieving continuous improvement in the quality and cost effectiveness of facilities managed and services delivered. This position reports to the Area Portfolio Manager for Great China Region Field Offices. The preferred candidate location is Shanghai or Beijing, however locations may be considered based on candidate qualifications and skill sets.
Key responsibilities:
1. Provide RE&F management support, service and expertise to the Greater China Region. Use knowledge of Microsoft business needs and industry/market trends to contribute recommendations and improve the design and delivery of RE&F services.
2. Partner with Regional General Managers (GM) and Finance and Accounting (F&A) Controllers to determine occupation demand and set RE&F operational plans for countries in the region. Proactively pursue real estate market opportunities.
3. Partner with the area business leaders/managers to ensure that their RE&F needs are understood and being properly addressed.
4. Identify and execute strategic opportunities through strong relationships with key stakeholders and regional decision makers.
5. Support development of and delivery to RE&F’s Multi-Year capital plan for the China portfolio; including strategy, business, financial and operational planning in alignment with RE&F goals and client strategy.
6. Drive real estate transaction and site design & construction projects through the effective management of Real Estate service providers.
7. Engage with area and site leaders and/or management teams as the RE&F point of contact and accountability for design & construction projects. Partner with the field site-specific management teams to ensure that business needs are understood and properly addressed. Establish a client relationship rhythm of business for portfolio planning and synchronizing with business needs.
8. In cooperation with Human Resources, lead and reinforce change management strategy/plans to drive consistency and adoption within the workplace.
9. Strategically manage RE&F vendor relationships to ensure that the agreed service levels for the day-to-day management activities are met in Facilities, Project and Transactions. This includes performance management and reporting vertically and horizontally on performance and key metrics to internal stakeholders.
10. Present service/vendor recommendations to management, effectively communicating the business case and negotiating with key internal and external stakeholders based upon a thorough understanding of vendor capabilities and industry options. Partner effectively with the Global Procurement Group (GPG) to support the vendor sourcing process in country and or region.
11. Deliver "world class" service to the internal subsidiary/country RE&F customer base; interpret policy, deliver service, and monitor performance in a manner consistent with regional standards, policies and processes.
12. Ensure that RE&F is in compliance with all statutory and reporting regulations and Microsoft policies and controls. Maintain stringent policies regarding data integrity.
13. Prepare periodic RE&F status reports that measure progress against agreed upon initiatives, benefits, issues resolution and service levels. Monitor area needs to anticipate future RE&F requirements and assessing the external marketplace to identify improvement opportunities.
14. Promote continuous improvement in RE&F management through effective process, methodology, and training. Identify and implement best practices within the area to support the continuous improvement of the regional and global knowledge base and best practices.
15. Respond to all business requests related to RE&F.

Professional/Personal Skill Requirements
- B.A. or B.S. in Business Management, Facilities Management, Finance, Architecture, Engineering or other related fields; MBA or related graduate degree strongly preferred.
- 8-10 years of management experience with proven track record in Business Management and Client Relationship Management and/or Real Estate and Facilities Management. Preferably 3-5 years of the experience with leading virtual teams in a multi-national organization.
- Strong track record in managing the technical infrastructure in large owned facilities.
- Proven track record in managing projects across China including remote project management and client engagement.
- Strong relationship skills; able to develop a relationship built on trust and competency with all stakeholders.
- High energy and enthusiasm to effectively manage the area RE&F organization and service delivery function.
- Ability to motivate, influence, and gain buy-in for RE&F initiatives and strategies across the organization.
- Ability to analyze problems and opportunities, conclude direction and make critical decisions.
- Strong communications (written and verbal) skills. Demonstrated experience in influencing skills at all levels of the organization and in particular at senior level. Excellent English written and verbal communication skills required.
- A willingness to travel between 5 -10% of the time.
