职位描述

Responsibilities:

1. Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department. Places outgoing calls, as needed.

2. Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel. Relays messages manually, via PA system and/or by electronic mail.

3. Supports Office Services and/or Human Resources in routine clerical and administrative tasks that can be accomplished at the front desk such as printing of business card, office stationeries, beverages & etc.

4. Insures that Photocopiers, fax machines and other standard office equipment is operational which involves:

a) Conducting troubleshooting activity to determine nature of the issue or malfunction.

b) Completing any repair activity or contacting the third-party service to manage the repair.

c) Maintaining MFDs and fax machines by changing toners and print cartridges.

5. Facilitates local conference room readiness that includes:

a) Monitor meeting rooms reservation to avoid conflict in booking

b) Interfacing with the IS for LCD equipment when it malfunctions & additional support as needed.

6. Facilitates sort, delivery (courier) liaise with courier company & monitoring delivery schedules and posting of mails.

7. Orders and stocks toner, cartridges, and copy paper; manages office supply orders for the Office Services team.

8. Perform flight & hotel accommodation booking as required by East China Team

9. Replenish pantry inventory

10. Managing Petty Cash by preparing payment voucher and compile payment vouchers on monthly basis to ensure the amount is tally with the opening balance.

11. Administration support to marketing activities like:-

a) Onsite support & assisting AMs during marketing activities eg. Partner Conference, Seminars, Exhibitions, Business Review & etc.

b) Packing of conference materials eg. Leaflets/Posters/Banners & etc for seminars & conferences.

c) During the event of seminars & conferences, assist to notify and send out invitation and follow up the RSVP

d) Update the inventory of corporate premiums, marketing collaterals, leaflets & etc

e) Collect marketing plans from all eastern Region AMs on Quarterly Basis

12. Administrative support to the Sales Team:-

a) Assist Eastern Regional Manager & compiling expense report from Eastern region AMs then submitting to the Regional Manager for approval

b) Monitoring and assisting on following up of machine loan form eg. Collecting loan form and send out machine as and when requested by AMs

c) Work closely with Eastern RM & AMs on preparing weekly sales commit call report

13. Ensure effective and efficient administrative support for internal departments

14. Handle any administrative or miscellaneous tasks if required


Requirements:

1. Education: At least College and above

2. Age: 24 - 30

3. Working experience: at least 2 to 3 years relevant experience

4. Language: Mandarin, added advantage with minimum English proficiency but not critical

5. Other competencies: Microsoft word, excel & minimum ppt knowledge
