Job Guide －Facilities Services Receptionist-FS Assistant

Reception

• Guest Welcome and visitor registration  
• Conference room booking, coordination and meeting room set up  
• Ensure the supply of conference room facilities such as projector, stationary, drinks & food etc. are in good condition (familiar with Inter call, WebEx, and conference dialing process)
• Fax receives and track
• Daily FS supply management
• Mailing and courier management  

Switchboard management

• Pickup and transfer phones, call in message receive and track  

New Hire

• New Hire name badge set up and name card printing  

Travel Management

• Travel Arrangement and daily coordination  
• Related monthly billing for FS
• Assist group travel reservation for Lobs upon request according to company policy  
• Transportation pick-up arrangement upon request

Office Facility and Environment Management

• Colleague and private room name plate arrangement
• Stationery, facilities (Copier, printer supply) and pantry supply purchasing and monthly payment arrangement
• Ensure daily office security safety
• Daily communication with building property and supplier vendors as need
• Gardening arrangement and management

Others

• Ensure all the office reception related supply and documentation are in good condition
• Company events support upon request
• Back up FS assistant upon her absence
• Other projects assigned by FSM
