职位描述
Responsibilities:
· Full meeting project presentation (excel / ppt) and destination services “selling” upon clients’ RFP
· End to end national meeting program management, clear and efficient communication with clients
· Identify, Negotiate, Contract and Manage meeting vendors and logistic service suppliers
· Understand Attrition Guidelines and Cancellation Penalties – as they pertain to a hotel contract.
· Create and design Food & Beverage functions – understanding guarantees and limitations
· Oversee the creation and design of Social Events with appointed production / creative agencies
· Handling meetings ranging from 10 people to 300 or more
· Planning the logistics of the conferences and meetings - from meeting room setup to coordinating up to 10 breakouts
· Manage hotel rooming lists and ground transfer arrival / departures list – tracking and updating of these reports daily
· Coordinate with Meeting Group Air and Visa Service team to produce a seamless operations between air and land
· Communicate meeting registration timeline and compliance requirements with event attendee
· Provide meeting onsite execution, manage registration desk and all onsite service resources
· Build and manage event budget, input meeting data and status during entire meeting lifecycle.
· Facilitate pass through meeting suppliers pre-event deposit and after-event balance payment
· Compile and reconcile the final invoices, bills and itemized supporting documents for accuracy, based on Customer and GBT pre-aligned Event Operations & Closure Checklist
· Meeting all deliverables by agreed timeline, both Customer external as well as GBT internal
· Sound company product knowledge and ability to cross sell products / services where possible
· Maximizing of revenue per event and understanding of overall contribution to revenue and P&L
· Adhering to all American Express Meetings & Events policies as well as all compliance issues.
Qualifications
· College and above degree in travel, meeting, or a related field
· Minimum of 5 years of past meeting planning skills are required
· Pharmaceutical or Healthcare meetings experience is preferred
· Excellent knowledge of China inbound market as a meeting destination
· Ideal candidate should be thoroughly familiar with travel and hospitality industries
· Must be proficient in Microsoft software and literate with other computer applications.
· Ability to work within budgetary parameters, meeting critical deadlines, and handle multiple projects simultaneously.
· Needs to be able to work with international corporate meeting client to develop programs, including venue proposal, site inspections, negotiations, contract, onsite management through final billing
· Customer care excellence, detailed oriented, flexible and able to work under pressure
· Comfortable working both independently and as part of a team
· Fluent English skill on e-mail communication and conference call
