Primary Responsibilities:
Office Administration Support:
? Office daily management. (Handle emergence case, Payment bill, express, arrange office mineral water…. )
? Ensure that office equipment and facilities fit for purpose (glass door, telephone, network, door access system, printer, coffee machine ….)
? Manage office procurement. (Stationery, equipment…)
? Manage communication with business building committee
? Manage relationship with outsourced services (IT service, decoration, flight agency, express)
? Manage corporate contract (hotel, recruiting website, office rent, express, IT, insurance…)
? Ensure employees and office respect China laws and renew employee work permit, residence permit for foreigners, renew business license, organization code for company.
? Help US team in Buying trip organization (Apply invitation letter, visa for employee and foreigners, book trains, flights, hotels)
? Assist Office manager in Daily basis.
Office HR Support:
? Enhance team spirit and coordinate team building events.
? Maintain and update internal documentation(leave record, overtime, name list, expense claim form, monthly payment)
? Pre select candidates and organize interviews with related line manager
? Assist in the induction plan for new comers (contract, confidential agreement, newcomer boarding training )
? Maintain a good communication with FESCO and US HR team
? Handle resignation process.
? Report China office HR information to US on Weekly and monthly basis (Overtime, Holidays…)
Finance Support:
? Ensure all invoices coming from our partners are paid on time (office rent, property management fee…)
? Forecast and manage monthly budget of China Office.
? Supervise staffs expenses claim & prepare monthly summery.
IT Support:
? Support Local and US IT implementing all software and updates in China Office.
? Report problems to local IT.
? 3 to 5 years of experience in HR Administration with qualified university degree.
? Have strong integrity, a balanced and measured approach but have the pace to be able to work effectively under pressure.
? Extensive MS Office/MS Excel skills
? Fluent in both English and Chinese, written and spoken.
? A highly organized team player
? Good communication skills
? Excellent attention to detail.
